Pureform Radiology is a specialized diagnostic imaging provider offering community-focused services in Calgary and Airdrie. Our clinics currently offer X-ray, Ultrasound, Mammography, Bone Density Testing, Pain Management (including Fluoroscopy-guided and Ultrasound-guided injections at select locations), and Biopsies.
With a team of more than fourteen Radiologists, we support a range of subspecialties including General Imaging, Musculoskeletal, Interventional Radiology, Breast Imaging, Pediatric Imaging, and others.
About the Role:
We are seeking a Booking Representative to join our dynamic and high-volume scheduling team. Reporting to the Booking Team Lead, you will be the first point of contact for patients booking their imaging appointments. You will handle a high call volume, offering clear, compassionate support while coordinating appointments for various specialized diagnostic procedures such as cortisone shots, PRP injections, fine needle aspirations, and biopsies.
Key Responsibilities:
Manage large volumes of incoming calls using advanced scheduling software.
Book appointments across multiple clinic sites.
Provide patients with clear information about exam preparation, available time slots, and clinic procedures.
Respond to patient questions regarding diagnostic services, ensuring understanding of all preparation and post-procedure instructions.
Offer empathetic support to patients and escalate complex concerns to the appropriate department or clinical team.
Meet key performance targets such as daily call quotas and quality metrics.
Input requisition data accurately and maintain precise records in the scheduling and electronic medical record (EMR) systems.
Follow standardized protocols to ensure a smooth and professional patient experience.
Collaborate with Radiologists, Nurses, and Technologists to ensure efficient scheduling and minimal service delays.
Maintain patient privacy in accordance with HIPAA and internal confidentiality standards.
Communicate professionally and kindly with patients via phone; use effective de-escalation techniques when necessary.
Stay current with software updates and internal system changes.
Participate in ongoing internal training to enhance skills and industry knowledge.
Perform other duties as required.
Qualifications and Experience:
High School Diploma required.
Medical Office Assistant certificate or healthcare-related education is an asset.
Minimum of 2 years' experience in medical booking, reception, or administrative roles.
Strong administrative skills and knowledge of diagnostic imaging procedures preferred.
Comfortable working with scheduling platforms, EMRs, and Microsoft Office tools (Outlook, Teams, Excel).
Proven multitasking ability--capable of handling continuous incoming calls while managing daily tasks.
Reliable transportation to travel to head office as needed.
Team-oriented, flexible, and eager to adapt to new processes or systems.
Strong communication and interpersonal skills.
Capable of learning and using medical terminology in scheduling decisions.
Able to work effectively with patients and coworkers from diverse backgrounds.
Maintains professionalism and sound judgment under pressure.
