Location: Montreal or Toronto Area - Hybrid

The Biometrics Program Coordinator supports the development and implementation of project management services with the support of the Manager, Biometrics Program Management and other program team members. This position involves controlling and monitoring project activities from initiation through closure while adhering to standards with respect to cost, time, scope, quality, and risk management elements of each project.

The Biometrics Program Coordinator serves on Biometrics project teams in the capacity of Program Coordinator.

Key responsibilities

  • Facilitates team communication, project email groups and liaises with sponsors and third party contractors
  • Schedules and prepares for and attends all internal and external project team meetings by preparing agendas and documenting meeting discussions as needed
  • Manages meeting follow-up activities, including finalization and distribution of meeting minutes and the tracking of action items and decisions (internal and external, as applicable)
  • Supports the coordination, collection, filing, tracking, archiving and transferring of project documentation
  • Supports training records management (tracking and filing) and schedules study specific training (internal and external) \xe2\x80\x93 scheduling, agendas, documentation, maintenance and filing
  • Supports the development and coordination of client proposals, cost estimates, change orders, and study budget reconciliations/closeouts
  • Support bid defense meeting preparation, slide preparation, meeting arrangements, etc.,
  • Tracks project budgets, and provides support to the finance functional area with forecasting and the invoicing process
  • Supports the co-ordination of assignments for document management (authoring, reviewing and approving)
  • Prepares status reports and project review metrics/reports
  • Performs work assignments based on detailed instructions for each task
  • Assure good communication and relationships with clients
Requirements
  • Strong written and verbal communication skills in English
  • Demonstrates attention to detail
  • Exhibits emerging planning and organizational skills
  • Adaptable and innovative individual with novice level skills relating to daily task management, financial awareness, resource and contract management
  • Displays self-development and ability to support internal and external meetings including scheduling, documenting, and participating
  • Independent learning to maintain knowledge of related regulatory guidance documents, standard operating procedures, and internal work instructions/guidance
  • Ability to learn how to work in a fast-paced challenging environment of a growing company
  • Displays beginner level ability to maintain effectiveness in a changing environment
  • Ability to anticipate potential opportunities and challenges
  • Proficiency with various computer system applications including Word, Excel, and PowerPoint
  • Bachelors or equivalent degree in a scientific, finances/business area and/or relevant experience
  • \xe2\x89\xa5 6 months\xe2\x80\x99 relevant professional experience
