Billing Operations Administrator

Job Description

We are looking for a Billing Operations Administrator to join our growing team at our Woodstock, NB office location. Reporting to the Manager, Billing & Collections, you will be responsible for the timely and accurate invoicing of subscribers on a daily basis, issuance of electronic invoices, printing and mailing of paper invoices, and submission of payment files to processors. You are also responsible for timely cash applications, monitoring and maintenance of compliance related activities, processing of subscriber credits and refunds, and responses to billing related inquiries. In this role, it is essential for the Billing Operations Administrator to communicate professionally with internal and external customers, as well as collaborate effectively with other business teams to ensure the successful completion of daily, weekly and monthly tasks. Additionally, as required, you will represent Subscriber Billing Operations on cross-functional projects and process improvement initiatives.

Key responsibilities include:

  • Processing daily subscriber billing - including electronic and paper invoice creation and delivery, and preparation and submission of pre-authorized payment files
  • Running, reviewing and actioning all exception reporting for daily subscriber billing processes
  • Monitoring and maintaining compliance related activities (tax, payments, etc.)
  • Processing subscriber payments, credits and refunds.
  • Responding to subscriber billing inquiries (cases assigned to Billing Operations)
The ideal candidate will possess:
  • Completion of 1 year post-secondary education in a related field (i.e. Business, Finance, Technical, etc.)
  • Minimum 2-3 years in an operations type role
  • Familiarity with Xplore systems and products
  • Proficient with MS Office Suite
  • Customer focused with good verbal and written communication skills
  • Above average technical aptitude
  • Keen attention to detail with an analytical mindset
  • Ability to prioritize and multi-task
  • Self-motivated - able to work independently
  • Creative problem-solving ability
