'Summary'


'We are seeking a detail-oriented Billing Clerk to join our team. This role is crucial for maintaining accurate financial records and supporting our operational excellence. The Billing Clerk will be based in our main office and will play a vital part in ensuring smooth financial transactions.'

Key Responsibility 1: Occupational Health and Safety

Demonstrate a strong commitment and adherence to Delivery Tech OHS Safety program by self and team members.

Responsible for following all safety policies, protocols, and procedures, and ensure a safe working environment for all team members.

Key Responsibility 2: Billing and Invoicing



Support the Office Manager with the preparation and issuance of freight bills and invoices based on rate confirmations, contracts, and load documentation.

Ensure there is verification of all load details, including mileage, weight, accessorial charges, and fuel surcharges.

Ensure invoices are accurate, compliant, and sent on schedule.

Support the Office Manager with the processing of daily, weekly, monthly, invoices based on a customer-by-customer basis.

Support the Office Manager with the processing payments in various systems according to established procedures.

Assist with billing-related tasks, including data entry, invoice creation, and payment tracking.

Communicate with clients regarding billing questions or payment options in a respectful and confidential manner.

Support coordination between providers and the billing department to ensure accuracy and timely submission of claims or payments.

Key Responsibility 3: Support AR/AP and Payroll



Support the Office Manager with the following:

o Processing all invoices on a daily, weekly, monthly basis received by Delivery Tech.

o Processing payments and enter into the computer system according to established procedures.

o Preparation and maintenance of the reporting of payments received and reconcile vendor statements.

o Entering all online bank payments into the accounting system and completing bank reconciliations.

o Ensuring invoices are uploaded into the system.

o Credit card reconciliations.

o Ensuring invoice amounts are correct and reasonable and properly coded, including matching PO's and requisitions to invoices.

o Tracking hours of the drivers and adjusting accordingly in Dayforce.

o Verification of the payroll data of drivers for accuracy.

o Registering all new hires with the benefit provider and act as a liaison with benefits administrators.

Key Responsibility 4: Additional Administrative Support

Answer the phone, record messages or direct calls to the appropriate individuals.

Provide clerical and administrative assistance to Owner as needed.

Support colleagues with administrative requests that arise including, but not limited to, filing, photocopying, scanning, faxing.

Data entry of information as directed and as required.

Complete customer pickups as needed.

Qualifications and Education Requirements:



High School diploma is required. A post-secondary diploma in Business Administration is preferred.

A minimum of 4-5 years of billing experience required with preference to work in the trucking industry.

2-3 years of experience in AR/AP and Payroll in a busy office environment.

Strong knowledge of standard billing processes and systems.

Effective verbal and written communication skills with individuals at all levels of the organization.

Strong customer service skills and experience in managing customer queries.

Strong numerical and analytical skills.

Ability to work in a fast-paced environment with multiple deadlines.

Strong prioritization, multi-tasking, and time management skills to meet deadlines.

High level of critical and logical thinking, analysis, and reasoning to identify underlying principles, reasons, or facts.

Demonstrated attention to detail and the ability to work quickly while maintaining a high degree of quality and accuracy.

Ability to make responsible decision in accordance with prescribed policies and regulations.

Exhibit strong personal values, integrity and hands-on work habits.

Ability to problem-solve and consensus build with customer is necessary for addressing sensitive business problems.

Highly energetic with a strong work ethic.

Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times.

Attention to detail in all areas of work.

Strong computer skills and ability to work with Microsoft Office suite of business programs and ability to learn new programs.

Must have a valid Class 5 drivers licence.
