Admin & Billing Clerk

We are seeking a detail-oriented and proactive Billing & Admin Clerk to join our growing team at consulting engineering firm. This role plays a vital part in managing the company's financial health by overseeing Accounts Receivable (A/R) and billing processes, while additionally supporting general office management. Hours for this position may vary but are estimated to be approximately 30-35 hours per week.

RESPONSIBILITIES WILL INCLUDE THE FOLLOWING:

Billing & Accounts Receivable



Prepare and issue client invoices per project contracts and deliverables. Submit invoices through client portals (OpenInvoice, Cortex, Ariba) or by email. Monitor AR aging; proactively follow up on overdue accounts. Post customer payments and reconcile AR subledger to GL Communicate with Project Managers to resolve billing issues. Maintain accurate billing and client records. Provide AR updates for month-end. Assist the Finance Manager with day-to-day accounting Cross-train in AP tasks for coverage when needed.

Administrative Support



Coordinate travel arrangements for field work (hotels, flights, vehicle rentals) Greet and direct visitors on arrival at the office Answer and direct incoming phone calls and general inquiries. Order office supplies and coffee; monitor inventory and restock. Maintain general office tidiness and supplies Provide general administrative support to the team as required.
NECESSARY QUALIFICATIONS:

2-4 years of experience in billing, accounts receivable, or administrative support. Detail-driven with an eye for consistency and financially literate. Working knowledge of accounting principles (GAAP) and invoicing best practices. Proficiency with Microsoft Office (Excel, Outlook, Word). Excellent communication and organizational skills. Ability to work independently and manage multiple tasks with minimal supervision.
THE FOLLOWING WILL BE CONSIDERED AN ASSET:

Post-secondary education in Accounting, Finance, Business Administration, or related field. Experience in consulting engineering or professional services firms. Working knowledge of ERP systems (Unanet preferred) Experience in OpenInvoice/Cortex/Ariba would be a plus.

This position will be based in our head office in downtown Calgary, Alberta. Higher Ground Consulting works on a basis of mutual trust and respect with our employees. Pay: $24.00-$28.00 per hour
