Qualifications:
Essential:
Experience providing clerical and administrative support.
Experience reading legal descriptions, survey and/or subdivision plans.
Experience working with database systems, including data entry for updating and maintaining file information.
Experience and proficiency in Microsoft Office Suite including Word and Excel or similar programs.
Strong interpersonal skills for developing and maintaining positive working relationships with the public and staff.
Strong verbal communication skills for dealing with the public and staff by phone and in person in English and French.
Strong written communication skills for preparing letters and other types of documents in English and French.
Ability to work independently with minimal supervision.
Strong organizational and time management skills for meeting strict deadlines.
Experience processing and analyzing documents with a high degree of accuracy and attention to detail.
Desired:
Knowledge of assessment services including policy, taxation and applicable statute law.
Duties:
Reporting directly to the Regional Manager, the Bilingual Planning Clerk, processes subdivision applications and planning by-laws in the Community Planning Services (CPS) database, maintains current regional zoning by-laws in the provincial SharePoint site and office electronic by-law records, vets preliminary subdivision application questions from the public, screening subdivision applications as they are submitted for completeness, and requesting additional information where necessary, and reviewing certificates of title and legal descriptions of land, digitally sketches preliminary subdivision application maps using ArcGIS software based on client descriptions or surveyor sketches, assists municipalities and planning districts in navigating the subdivision process. The incumbent also assists planners on matters pertaining to the application and updating of zoning by-laws and development plans and associated amendments, assists planners in preparing subdivision packages for the Municipal Board, public hearings and assisting in coordination of materials and completes administrative duties including the filing of subdivision documents.
