Position: Benefits Specialist Job Type: Full Time Contract (13 months) Schedule: Monday-Friday Location and Working Conditions: Concord, ON (hybrid, 1-2x a week in office) Language Requirements: English (required) / French (desirable) Purpose: Responsible for the strategy, design, communications, implementation and operations of benefits programs. Plans and implements the organization\'s Benefits & Wellness strategy so that benefits outcomes meet current and future company needs and are consistent with the organization\'s desired internal/external market position. Job Responsibilities: Benefits

  • Research and analyze benefits policies and programs to optimize effectiveness of benefit plans and ensure consistency with established Company-wide goals.
  • Analyze benefits programs to confirm they are cost effective and within budget.
  • Evaluates, reviews, and recommends vendors to the Head of Benefits and Leadership for benefits programs including RRSP, health/dental insurance, liability insurance, etc.
  • Evaluates current benefits services and makes recommendations for continuing or canceling contracts as appropriate. Ensures providers are responsive to the Company\'s projections.
  • Provide Management with cost analyses of benefits programs.
  • Evaluates Company benefits program compliance with Canada regulations.
  • Coordinates drafting, production and distribution of benefit communications.
  • Maintains accurate eligibility files for various benefit programs.
  • Reviews submissions for Pension and RRSP/DPSP contributions to ensure accuracy and completeness. Assists associates with plan set up. Arranges annual information meeting with vendor to provide overview to associates.
  • Reviews and prepares monthly benefits billing to ensure new and terminated associates are processed according to plan guidelines. Support associates to make ongoing changes for life events.
  • Follows up with associates on leave of absence for payment of benefit premiums.
  • Completes employer statements for STD, LTD, Life claims and waiver of benefits
  • Completes and/or reviews annual taxable benefits reporting, PIER Reports, T2200\xe2\x80\x99s and TP64\xe2\x80\x99s.
  • Works collaboratively with Payroll/Benefits/HR/Finance teams to ensure all Payroll and Benefit activities are properly reflected in UNFI financial reporting.
  • Establishes and maintains professional working relations with applicants, visitors, callers, insurance contacts, benefits providers, other business professionals and company associates.
  • Performs all duties and responsibilities in a legal and ethical manner and in accordance with Company policies and procedures.
Payroll
  • Receives completed employment offer letters from HR. Ensures employment and enrollment forms are completed such as federal and provincial tax forms, benefit insurance, pension. Meets with new associates to provide guidance and support in the completion of forms/online submissions and explain pay processing.
  • Tracks and resolves payroll problems and escalates when required for further assistance.
  • Processes terminations, transfer, new hires, pay changes/step progressions by preparing and submitting appropriate documentation to Canada Payroll and Canada Benefits. Completes reports as assigned.
  • Tracks and maintains vacation records and ensure vacation pay is paid according to legislation and/or collective agreement.
  • Supports Management by inputting attendance call ins, vacations, sick time, temporary differentials on a biweekly basis for payroll processing as requested. Assists in trouble shooting time clock issues and acts as a backup for inputting new associates into time clocks.
  • Acts as a backup for incentive payment calculations.
  • Prepares and remits union dues statement and cheque to union on monthly basis.
  • Reviews payroll register biweekly to ensure submissions are processed. Liaises with payroll to correct any errors and follows up on same. Runs reports to analyze/reconcile general ledger payroll accounts.
  • Reviews prior pay period register to note any anomalies and works to resolve prior to associate escalation.
  • Works with ADP Canada to ensure GL coding and set up flows to company\xe2\x80\x99s GL and creates any reports necessary.
  • Prepares garnishment orders, verification of employment, Service Canada or other government or associate requests.
  • Completes annual filings for Workers Compensation, Revenue Canada, Revenu Quebec, EHT, etc.
  • Participates in year-end process. Reviews T4/Releve 1\xe2\x80\x99s for accuracy and responds to requests.
  • Ensures that human resources files and records are maintained in accordance with legal requirements and company policies and procedures.
  • Partners with HR to conduct new employee orientations, and ensures associates are well informed of company policies and programs. Puts welcome and orientation packets together and maintains/updates information. Ensures associates are set up for paperless pay.
  • Performs other job duties as required.
Job Requirements: Education/Certification:
  • Post-secondary education or equivalent training and experience in Payroll/Benefits.
  • CEBS Certified Employee Benefits Specialist preferred.
Experience:
  • 3+ years of related experience in Benefit, Payroll, and/or Human Resources.
  • HR Technology system implementation experience is preferred.
Knowledge:
  • Proficient in MS Office products (Word, Powerpoint, Excel, Visio)
  • Expert knowledge of Payroll software (Workforce Now) and insurance industry systems (Sun Life, Manulife) preferred.
  • Bilingual (English/French) along with a driver\'s license an asset.
  • Financial acumen along with budget planning abilities.

  • Must be able to work flexible hours as necessary to meet business needs, such as evenings, weekends and holidays as required. Occasional travel may be required.
