Basin Administrator
Reporting to the Operations Manager, the Basin Administrator will provide timely, efficient, and accurate administrative support and data entry to area management in operations, human resources, maintenance, supply chain & EHSR.
Responsibilities:

  • Provides quality control and confidentiality of all documents received, and reports created.
  • Ensure coverage at Clairmont basin office during all work hours (typically 8-5 M-F) to ensure couriers and visitors have access to required staff
  • Works directly with operations and management to ensure completeness and accuracy of data.
  • Assist with the New Employee hiring process
    • Prepare offer letters for review and approval
    • Schedule fit testing & UA testing for new hire
    • Send out welcome emails with all required information to candidates prior to starting with BJ
    • Set up computer access and through payroll
    • Set up new hire training & client orientations, schedule all required third-party training
    • Ensure new employees have all of their required certifications and tickets and that tickets are in files and uploaded into EHS Insight
    • Ensure all new hire paperwork is accurately completed and submitted to payroll to include in employee adp documents.
  • Maintain driver files and employee personal information in a locked confidential cabinet
  • Distribution of operations bi-weekly job bonus sheets are provided electronically to each individual employee
  • Data entry as required for operations, maintenance, and HR departments
  • Filing of maintenance and compliance documents as required by EHS department
  • Assisting with Driver Qualification checks \xe2\x80\x93 abstracts within 30 days of hire
  • Ordering and management of Office Supplies
  • Provides administrative and clerical support to the basin office personnel as required
  • Fosters a positive working relationship with co-workers, customers, and management.
  • Reconcile company fuel cards and provide to operations manager for approvals required
  • Any other duty, responsibility or task as assigned by the supervisor.

Requirements:
  • High School or GED equivalent.
  • Minimum of 3 years of general administrative experience with advanced proficiency in MS Office.
  • Mature and professional presence as a representative of BJ.
  • General knowledge of administrative procedures and systems.
  • Excellent time management, organizational and communication skills.
  • Ability to multi-task in a fast- paced environment while producing quality work.
  • Ability to make responsible decisions quickly, dependable and demonstrate self-responsibility.
  • Must be able to communicate effectively with co-workers, customers, and management.
  • Detail Oriented: Capable of carrying out a given task with all details necessary to get the task done well
