Career Opportunity and Primary Roles / Responsibilities
We are currently seeking an Administrative Assistant to work closely with the Senior Office Administrator and handle the following tasks and responsibilities:
General administration assistance - 85% of the time
Front office assistance - manage incoming calls, general email inquiries, etc.
Travel management - expenses, bookings, etc.
Accounting - provide support with AP/AR
Files - prepare/review documents in English and French, maintain an accurate database;
Facilities management - kitchen cleanliness, organize events/lunches;
Logistics/ shipping of packages/mail, vendor management;
Provide an excellent service to internal stakeholders - build relationships, execute the tasks on time and in an accurate manner, come up with improvement ideas, etc.
Any other task necessary for the seamless functioning of the office.
HR administration assistance - 15% of the time
Assist with HR related tasks - background checks, recruitment process, onboarding paperwork, etc.
Support for HR legislation research;
Social media marketing activities
Requirements
Bachelor's degree / Certificate in Commerce / Administration or other related discipline from an accredited institution
3+ years' experience in an Administrative Assistant role preferably in an engineering company
1-2 years of accounting experience
Ability to communicate effectively in English and French (oral and written)
Ability to multi-task and be resourceful
Detail oriented
Discretion is a must
Excellent computer skills (Microsoft Office)
Must be a Canadian citizen or permanent resident
