Job Description

Blaikie's Dodge is seeking a highly organized and customer-focused Automotive Appointment Coordinator to join our dynamic team. The ideal candidate will play a crucial role in managing and coordinating appointments for our automotive service department. The Appointment Coordinator will interact with customers, schedule appointments, and ensure a smooth flow of communication between customers and service technicians.

Responsibilities:

Appointment Scheduling:

• Manage and schedule appointments for automotive service and maintenance.
• Coordinate with customers to find suitable time slots for appointments.
• Utilize scheduling software to optimize service bay efficiency.
Customer Interaction:

• Interact with customers via phone, email, and in-person to understand their service needs.
• Provide excellent customer service by addressing inquiries, concerns, and providing relevant information.
Communication Liaison:

• Act as a liaison between customers and service technicians.
• Relay information about service recommendations, estimated completion times, and any additional repairs needed.
Documentation and Record-Keeping:

• Maintain accurate records of customer information, service history, and appointment details.
• Ensure all relevant documentation is completed and filed appropriately.
Follow-up:

• Conduct follow-up calls or emails to gather feedback on completed services.
• Address any post-service concerns and ensure customer satisfaction.
Service Advisement:

• Provide basic information on automotive services, maintenance, and pricing to customers.
• Advise customers on recommended services based on manufacturer guidelines and vehicle history.
Collaboration:

• Collaborate with service advisors, technicians, and other team members to optimize workflow and improve customer service processes.
Qualifications:

• High school diploma or equivalent; additional education or certification in customer service is a plus.
• Proven experience in customer service or a similar role.
• Excellent communication and interpersonal skills.
• Strong organizational abilities with attention to detail.
• Familiarity with automotive terminology and basic understanding of vehicle maintenance.
• Proficient in using scheduling software and computer applications.
