Dans ce role, vous fournirez un soutien administratif executif de haut niveau directement au Vice-president des projets, ainsi qu'une assistance aux membres de l'equipe des operations au besoin, tout en faisant preuve de discernement dans l'execution de vos taches avec une grande autonomie.
Vous contribuerez a favoriser des relations efficaces entre les dirigeants et les differentes interfaces de l'organisation grace a une communication claire, positive et axee sur les resultats, tout en cherchant a comprendre les autres. Vous assurerez la liaison avec des gestionnaires et une base de clients/fournisseurs repartis geographiquement. Ces interactions devront etre influentes et, si necessaire, affirmees afin de resoudre rapidement et de maniere satisfaisante les problemes, ce qui exige une reflexion claire sur les alternatives et une capacite decisionnelle assuree.
Plus precisement, vous devrez :Gerer et coordonner l'agenda, la documentation et la logistique du VP Projets afin de l'aider a concentrer ses efforts sur les priorites essentielles a l'atteinte des resultats commerciaux, maintenir les relations cles avec les parties prenantes internes et externes, et assurer une communication efficace et en temps opportun.
Assurer la coordination des deplacements des dirigeants et d'autres leaders designes d'Alcoa, y compris les demandes de visa, l'hebergement, la reconciliation des cartes de credit et les taches liees a la mobilite.
Soutenir la coordination et la facilitation des visites VIP et des interfaces externes.
Coordonner et faciliter les reunions de l'equipe de direction en etablissant l'ordre du jour, les documents preparatoires, en prenant note des discussions et en assurant le suivi des actions. Responsable de la gestion de toute la documentation liee a l'equipe de direction ainsi que de la distribution des communications a toutes les parties, y compris le personnel a l'etranger et sur site.
Organiser des evenements cles tels que des ateliers ou des forums pour les equipes et les fonctions elargies.
Fournir des donnees/rapports/presentations precis pour respecter des delais serres et parfois concurrents, et rassembler toutes les informations necessaires a la production de rapports mensuels et trimestriels, de presentations et de donnees statistiques selon les exigences du gestionnaire.
Comprendre l'orientation strategique, les plans, les objectifs et les priorites d'Alcoa, les initiatives en cours et les enjeux plus larges touchant la region, afin de mener divers projets et activites qui optimisent les processus administratifs.
Ce que vous apportez au poste :Diplome d'etudes secondaires ou certificat pertinent requis.
Diplome en administration (souhaite)
Plus de 5 ans d'experience en tant qu'assistant(e) executif(ve) dans un role et une industrie similaire
Niveau expert en communication professionnelle ecrite et orale en francais et en anglais puisque vous devez interagir avec des parties prenantes a travers le monde.
Niveau eleve de maturite emotionnelle : confiance en soi, resilience, conscience de soi et capacite a reconnaitre quand les autres ont besoin d'aide ou de soutien.
Capacite demontree a maintenir un environnement d'equipe positif et, par son comportement, a contribuer a batir une organisation fondee sur la confiance.

Executive Assistant
About the role
In this role, you will provide direct high level executive administrative support to the Vice President Projects as well as executive assistance to the broader Operations team members as required while exercising judgement in the performance of duties under a high degree of autonomy.
You will assist and support fostering of effective relationships between leaders and the interfaces within the organization through clear, positive, outcomes focused communications and seeking to understand others. Liaise with geographically dispersed managers and customer/supplier base. Such interaction is expected to be of an influencing and where necessary assertive nature to ensure issues are resolved quickly and satisfactorily, requiring clear thinking of alternatives, and confident decision-making ability.
More precisely, you will:Manage and coordinate the VP Projects calendar, documentation and logistics to assist him to focus effort on the priorities which are important to achieving the stated business outcomes, maintain key internal and external stakeholder relationships and to ensure timely, effective communication.
Responsible for coordination of travel arrangements for the executives and other designated Alcoa leaders, inclusive of visa applications, accommodation, credit card reconciliation and related travel mobility tasks.
Responsible for supporting coordinating and facilitating VIP and Executive visits and external interfaces.
Coordinate and facilitate lead team meetings by setting the agenda, pre-reading resources, noting discussion and tracking action items including follow up. Is accountable for managing all related lead team documentation as well as distribution of communications to all parties, including overseas and location personnel.
Organising key events such as workshops or forums for the teams and broader functions.
Provide accurate data/reports/presentations to meet tight and at times, competing deadlines and collation of all information to produce monthly and quarterly reports, presentation material and statistical data to meet Manager's requirements.
Understand the strategic direction, plans, objectives and priorities of Alcoa, the current initiatives and broader issues affecting the region, to undertake a range of projects and activities that optimise administrative processes.
What you bring to the role:High School or Relevant Certificate Qualifications is essential.
Business diploma (desirable)
5 years+ high level Executive Assistant experience in similar role and industry
Expert level of business professional written and verbal communication in both French and English
Highly developed level of emotional maturity such they are self-confident, resilient, display self-awareness and can recognize when others may need help or support.
Demonstrated ability to maintain a positive team environment and through their behaviours helps to build a high trust organization.
