What You'll Do



As an

Administrative Assistant

, you'll play a key role in keeping our operations running smoothly. You'll help manage supplier and customer data, assist with administrative coordination, and bring structure to our internal tools (like Google Drive, Notion, and Zoho).

Your work will ensure that information flows efficiently across teams, allowing everyone to focus on what matters most: creating outstanding wellness experiences for our customers.

Key Responsibilities

:

Administrative & Operational Support



Process supplier invoices and manage payment-related communications. Create quotes and ensure client contact data is accurate in our operational systems. Maintain up-to-date records in Zoho (price lists, product costs, customer data).

Information Structuring & Continuous Improvement



Update and organize our internal documentation (templates, procedures, training materials). Lead the migration and organization of company data from Google Drive to Notion. Help standardize workflows and identify opportunities for greater efficiency.

Purchasing & Vendor Coordination



Handle purchasing of office supplies and consumables. Research and qualify new vendors for operational needs (packaging, logistics, IT, etc.).

Customer & Team Support



Answer occasional inbound calls and route them to the right team members. Ensure customer issues are documented properly in our system to support ongoing service improvements. Help clean and structure customer and operational data for better visibility.

Website & Communication Support



Update website content (prices, promotions, visuals) with accuracy and consistency. Support marketing or technical teams with layout and documentation tasks.

Administration & coordination



Saisir les factures fournisseurs et suivre les paiements. Creer des soumissions et assurer la mise a jour des contacts dans nos systemes. Mettre a jour les informations (prix, couts produits, etc.) dans

Zoho

Structuration de l'information



Tenir a jour la base de connaissance interne (gabarits, procedures, documents de formation). Organiser le transfert des fichiers

Google Drive

Notion

. Participer a l'amelioration continue de nos processus internes.

Achats & fournisseurs



Gerer les commandes de fournitures et consommables. Trouver et qualifier de nouveaux fournisseurs selon les besoins.

Support client & interne



Repondre aux appels entrants et orienter les demandes efficacement. S'assurer que toutes les plaintes et requetes sont bien enregistrees dans

Zoho Desk

. Nettoyer et structurer les donnees clients pour en tirer des apprentissages.

Support web & communication



Mettre a jour le site web (prix, promotions, contenus). Creer et mettre en page des documents internes alignes avec notre image de marque.

Profil recherche



Bilingue francais-anglais (parle et ecrit). Structuree, rigoureuxse et autonome. A l'aise avec la technologie (Google Workspace, Notion, Slack, Zoho). Bonne communication ecrite et orale. Capacite a gerer plusieurs priorites avec calme et efficacite.

Les petits plus



Experience avec Zoho CRM / Books / Desk. Avoir deja organise un espace collaboratif (Notion, Drive). Avoir un interet pour la structure, la documentation ou l'amelioration des processus.
