ROLE SUMMARY:
The Assistant Manager, Property Management works closely with the Manager, Property Management to support the full scope of property management activities, including leasing, maintenance coordination, reporting, and tenant relations. This role involves engaging with prospective tenants, conducting leasing tours, scheduling and overseeing maintenance and repairs, and collaborating with the accounting team to ensure accurate and detailed financial records. The Assistant Manager, Property Management, is also responsible for rent collection and addressing tenant concerns as needed. As the department continues to grow, this position will contribute to its development by identifying and implementing process improvements that enhance the overall quality and efficiency of the property management program.
The ideal candidate must be able to work a flexible schedule, including maintaining an on-call schedule, and booking some appointments in the evenings and weekends as necessary.
KEY RESPONSIBILITIES:
Provide excellent customer service throughout the tenant lifecycle.
Prioritize leasing activities by managing prospective tenants and conducting property tours to meet established leasing performance targets.
Ensure high quality execution of all leasing and tenant administration activities.
Support the timely collection of rents and prepare filings if necessary.
Support the Manager and Property Service Technician in coordinating one-time work orders, while also organizing recurring maintenance with external contractors and internal teams.
Prepare the monthly reporting package, including market rent surveys, rent rolls, AR, maintenance activities etc.
Ensure tenant ledgers are kept accurate and up to date, liaise with accounting to establish and maintain records.
In collaboration with the Manager and Director, develop new programs, processes and documentation to better support the tenant's experience and strengthen operations.
Liaise with internal teams, including marketing, construction and warranty to efficiently manage the rental portfolio.
Provide interim administrative assistance to the Property Management team by working closely with the Manager to ensure efficient operations, timely task completion, and minimal workflow interruptions during a team member's maternity leave.
Other tasks as required.
QUALIFICATIONS:
Post secondary degree or diploma.
At least 3-5 years' experience in Property Management, or 5 years management experience in a sales environment.
Experience with property management software (Yardi, Entrata, ResMan) and Microsoft Office products.
Must possess a valid Driver's license and possess a personal vehicle that is properly registered and insured.
Knowledge of property management principles, procedures, and standards, as applied to residential and commercial facilities is considered an asset.
Experience with a rental portfolio greater than 200 units is considered an asset.
Experience with new construction leasing is considered an asset.
Experience with condo-titled rental projects, and/or any condo certifications is considered an asset.
