We are seeking a highly organized and proactive Assistant to support our team in various administrative and immigration tasks. The ideal candidate will possess strong communication skills, Microsoft Office skills and knowledge of the Canadian immigration system. This role requires a detail-oriented individual who can manage multiple tasks efficiently while providing excellent customer service.
Responsibilities
Provide administrative support, including scheduling meetings and managing calendars.
Communicate effectively with clients and team members to facilitate smooth operations.
Handle customer inquiries with professionalism, ensuring high levels of satisfaction.
Coordinate the flow of information
Open and distribute regular and electronic incoming mail and other material
Schedule and confirm appointments
Maintain filing and database systems
Assist in filling out immigration forms, preparing applications and arranging documents
Prepare and key in correspondence and legal documents
Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage
Perform data entry on a regular basis
Perform general office duties
Arrange for billing for services
Skills
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong analytical skills with the ability to assess situations effectively.
Excellent communication skills, both verbal and written.
Strong customer service orientation with a focus on client satisfaction.
Administrative experience, including filing and time management skills.
Presentation skills for effectively conveying information to clients or stakeholders.
Knowledge of the Canadian immigration system.
Exceptional organizational skills to manage multiple cases efficiently.
Job Type: Full-time
Pay: $16.00-$24.00 per hour
Expected hours: 30 - 40 per week
