Job Summary
The Assistant Director, Projects and Relations is responsible for providing museum-wide oversight and coordination of MOA's major activities and initiatives. This includes oversight of MOA's exhibition and publication program, and major projects. The position plays a key role in maintaining and strengthening long-term, reciprocal relationships with Indigenous partners and cultural communities around the world, recognizing that developing relationships built on trust are essential for the museum's work.
As a member of the Museum's Management Committee, the Assistant Director contributes to the development of MOA's strategic plan and leads processes that determine MOA's annual priorities based on the strategic plan. The position also serves as the Head of MOA's Projects and Relations Department, ensuring that all major projects and initiatives are undertaken in meaningful ways with respect for cultural knowledge systems.

Organizational Status

The position reports to the Museum's Director. Together with the Museum's Management Committee, is responsible for setting strategic and operational priorities of MOA's major activities and initiatives and provides direction and supervision to the Museum's project team. This position communicates directly with artists, curators, conservators, donors, and other institutions from all over the world. Works with a variety of UBC departments and units, faculty members and various internal stakeholders across campus. Works with multiple vendors, suppliers, contract designers and editors. Engages and builds reciprocal relationships with Indigenous communities, cultural communities, artists, and other partners.



Work Performed
StrategicProvides museum-wide oversight and leadership to MOA's major activities and initiatives, ensuring that the perspectives and priorities of the communities represented are meaningfully incorporated into the Museum's exhibition program, capital initiatives, and other projects. Actively consults and collaborates with Musqueam and other Indigenous communities to ensure appropriate representation in all major initiatives. Leads the development and implementation of infrastructure and programs that support MOA's teaching, training, and research activities. Builds strong partnerships with Indigenous communities to ensure Indigenous ways of knowing are integrated into academic and public programming. Develops institutional priorities and policies related to the Museum's exhibition and publication program and other major projects, embedding consultation and co-creation processes as foundational components. Provides direction in establishing innovative practices and programs that prioritize engagement and knowledge-sharing. Champions initiatives that strengthen community generated curatorial and research practices thereby helping MOA to serve as a space for the people to learn about global cultures . Directs the development and implementation of specific initiatives that support MOA's strategic and operational priorities while fostering long-term, reciprocal relationships with Indigenous and other communities. Ensures partners have meaningful roles in decision-making processes related to exhibitions, programming, and policy development. Oversees all major projects and ensures that relationship-building is incorporated at every stage, from conception to execution. Implements robust audience research and engagement practices, including accessibility reviews and visitor studies. Supports MOA's teaching mission by developing connections with academic units across campus and fostering interdisciplinary partnerships. Provides leadership in developing and disseminating MOA's values, objectives, and vision, ensuring that relationship-building with Indigenous and cultural communities remains central to the Museum's identity and operations.

Project ManagementOversees all major projects and maintains a schedule of all such projects to ensure that staff resources are managed appropriately and timelines and budgets are met. Develops robust methods of communicating information concerning projects to MOA staff. Chairs MOA's Exhibition and Publication Review Committee, working with staff to develop methods for soliciting and screening proposals. Sets up and chairs individual exhibition teams, managing project scope, schedules, budgets and other key aspects to ensure successful exhibition development and implementation. Ensures timely execution of tasks, current, and/or planned, and adjusts execution of project plans. Develops funding plans for projects, researching funding sources and possible sponsorship and private sector support. Develops project funding submissions to public and private funding agencies and donors. Ensures all contracts relating to projects are executed and contractual obligations are met. Oversees staff responsible for design and media development and installation. Ensures that MOA's public gallery spaces and all the media and other components within them are fully functioning and meet MOA standards. Ensures that MOA's communications staff have the information they require to appropriately promote exhibitions and other special projects. Oversees the maintenance of statistics of activities for reporting to funding agencies and within MOA's annual reports. Implements robust audience research and engagement practices including reviews of Accessibility and conducting visitor studies.

Teaching, Training and Research SupportSets strategic goals to further the Museum's teaching, training and research priorities. Works with staff to develop new opportunities for UBC and other student engagement. Oversees the Library and Archives working with MOA's Research Manager on research and training initiatives. Oversees the Indigenous Internship Program, assisting in the integration of this program into MOA's museum-wide activities and working to secure its ongoing support. Supports MOA's participation in initiatives such as Indigitization.

Public Profile, Relationship Building and OutreachLeads the development and implementation of fundraising initiatives Oversees MOA's communications and marketing staff and activities, ensuring that they enhance MOA's public profile, attract visitors, and inform the public about MOA's range of research, programming and training initiatives. Ensures that MOA's communications staff have the resources they need in order to effectively promote MOA to its audiences. Supports staff in developing and maintaining relationships through statements of co-operation, MOUs, etc. ensuring that they have gone through all appropriate channels at MOA and UBC. Acts as the chief liaison with the president and committee heads of the museum Volunteer Associates, including monthly council meetings. Ensures that the Volunteer Associates receive the administrative support they require. Liaises with internal MOA departments to ensure that Volunteer Associates are well integrated into MOA and that their contributions meet MOA's strategic priorities.

Department HeadEnsures the effective management of personnel and resources within their department by: + Setting and monitoring annual work plans for each departmental member

Ensuring the annual work plan corresponds to adequate budgetary support, and making adjustments as required
+ Developing and submitting departmental budgets to the management committee Coordinating the work of their department with other departments (through the Management Committee)

Tracking department and individual work plans and budgets throughout the year against ongoing plans, timelines, and financial concerns
Prepares and conducts annual performance reviews of relevant department members and makes recommendations to the Director for merit increases where appropriate and when available
Provides end-of-year departmental report and collates all necessary information for the Museum's Annual Report and any other reports or documents as required
Advocates for the department and the Museum in public and private meetings and events as appropriate Represents the Museum in university, civic, regional, national, or international levels as required
Ensures optimal communication between the Management Committee and the members of all departments
Intervenes, arbitrates, and resolves work or personnel-related conflicts among or between departmental members. Ensures open and constructive communication; encourages respect and support between colleagues, and models positive attitude to staff.


Consequence of Error/Judgement
The incumbent is expected to make decisions in consultation with the Director and the Management Committee as well as make decisions without consultation. Decisions have a direct impact on the creation, revision and implementation of Museum exhibition and research program, operational policies and public reputation.
The consequences of some errors rest with the incumbent who has to rectify their own errors. Other errors could negatively affect the Museum's reputation and standing with Indigenous Nations, funding agencies and external partners.

Supervision Received

Considerable personal initiative is expected and a wide latitude in decision making is permitted. The position is directly responsible to the Director of the Museum. Performance is judged by results. consequences of error above).

Directly and indirectly supervises M&P, CUPE 2950, CUPE 116, and student staff through multiple levels of supervision.



Minimum Qualifications

Master's degree in a relevant discipline. Minimum of seven years of related experience, or the equivalent combination of education and experience.

Preferred QualificationsMasters' degree in administration, Anthropology, Fine Arts, or related field, or an equivalent in education and experience. Ability to plan and manage multiple projects within time and to budget. Demonstrated ability to work with Indigenous peoples. Demonstrated experience in strategic planning. A high degree of independent decision-making in situations calling for independent judgment and ability to interpret museum's strategic plan and policies. Strong supervisory, management and communications skills Experience in working well under pressure and with complex tasks and issues. Demonstrated commitment to equity, diversity, inclusion, and diverse perspectives. Ability to write grants Ability to build effective relationships with Indigenous communities, museum, associations and the university community. Ability to conveys the museum's vision and strategic plan internally and externally. Ability to understand UBC and faculty strategic plans and how they align with and guide museum's daily operations. Ability to determine the nature and urgency of inquiries and issues, and triage appropriately.
