Job Description





Title: Assistant Development and Communications Supervisor: Director of Development & Communications Location: Atlantic Canada (NB,NL,NS,PE) Nature Conservancy of Canada (NCC) is a private, non-profit organization that prides itself on its entrepreneurial, science-based approach to achieving conservation success through direct action. Since 1962, NCC and its supporters have helped protected more than 14 million acres of ecologically significant land across Canada from coast to coast to coast. NCC has experienced dramatic growth in recent years, and is now listed as the 13th largest non-profit organization in Canada, with a national office in Toronto and seven regional offices across the country. NCC is seeking a dynamic individual to join the Atlantic Region\xe2\x80\x99s Development team to help raise the profile of conservation and grow our network of supporters. This team is responsible for raising the funds needed for conservation projects across Atlantic Canada , helping to market and communicate NCC\xe2\x80\x99s work to a broad range of audiences, and developing engaging opportunities for supporters to get involved in NCC\xe2\x80\x99s work. Purpose and General Description The Development Assistant is responsible for providing administrative support to the Director of Development, supporting the delivery of outreach events and activities, and general support for the Development team as a whole. Duties & Responsibilities The Development Assistant will be responsible for the successful accomplishment of the following duties:

  • Assistant to the Director of Development
    • Assist the Director of Development with organization and scheduling of appointments, travel arrangements, task lists/projects, and with various initiatives and special projects as required;
    • Provide support to the Director of Development in maintaining donor relationships by managing files and records including emails, calendars, and donor records;
    • Prepare documentation that requires sign off by the Director of Development and finalizing documents that need to be sent to various audiences;
    • Assist with organizing meetings, agendas, prepping meeting spaces, and attending meetings to assist with note taking;
    • Supporting with the hiring process for the Development Department including handling job postings, reviewing applications, setting up interviews, and ensuring proper onboarding procedures are handled;
    • When required, assisting the Director of Development with the organization of donor meetings including preparing materials, conducting donor research, and attending donor meetings to provide assistance;
  • Development Team Support
    • Prepare and send out thank you letters and tax receipts to donors;
    • Organize team meetings;
    • Oversee time off requests and Professional Development tracking;
    • Pull reports from Raiser\xe2\x80\x99s Edge on fundraising metrics;
    • Manage the Atlantic Development Department online records and department page (internal);
    • Support onboarding and training for new Development team members;
    • Assist in planning and implementation of regional marketing and development initiatives, including but not limited to assisting in the creation and scheduling of social media, e-blasts and special events
    • Support the development, production and distribution of external NCC materials such as invitations, information sheets, case for supports, reports to donors;
  • Event Support
    • Represent NCC and share information about mission and programs at various regional events;
    • Assist in preparation, setup, and takedown for regional marketing and development events;
    • Assist with event related administration and record keeping
  • Communications support
    • Support the Director of Communications by helping to maintain/update NCC\xe2\x80\x99s website, ensuring consistent messages to support development initiatives
    • Assist in preparation, setup, and takedown for regional communications events (i.e. media announcements) as required

Accountability
The effectiveness of the Development Assistant\xe2\x80\x99s performance will be measured by his/her ability to:
  • Achieve the annual work plan as agreed within the policies, procedures, priorities and budget
as authorized by the Director of Development in the Atlantic Region;
  • Foster strong working relationships with the Development team, and NCC colleagues in the region and across Canada;

Skills:
The Development Assistant will possess the following skill set:
  • Ability to be proactive, anticipate problems and/or issues, and address these in a timely manner.
  • Experience as an Executive Assistant/Office Administrator with superior office administration skills.
  • Experience in fundraising, marketing, communications or community relations is an asset
  • Demonstrated ability to manage multiple and changing priorities and work to deadlines.
  • Strong written and verbal communicative abilities are required to effectively interact with other staff, volunteers, donors, general enquiries and other individuals.
  • Demonstrated problem-solving and decision-making skills.
  • Proficiency working with Microsoft Office products
  • Expertise in Adobe creative suite or adding content to webpage an asset, as well as, the ability to learn new software.
  • Demonstrated ability to work equally well as a team player and independently.
  • Professional telephone manner.
  • Detail-oriented and accurate.
  • Comfortable with public speaking.
  • An understanding of conservation and an appreciation for the outdoors.
