Ascend Pediatrics is a multidisciplinary practice that works with families within Calgary and surrounding areas. We have a clinical space in Cochrane, AB and are flexible with working within the community and family homes within Calgary, Cochrane, Airdrie and Surrounding Areas. We provide home, community and clinic support for kids of all ages and abilities! Our growing team includes pediatric occupational therapists, psychologists, speech language pathologists, behavioural consultants and therapy aides. Currently, we are looking for a passionate and dedicated Assistant Administrator to support our day to day clinic operations and client services.
We are seeking a highly motivated, emotionally intelligent, and detail-oriented individual to join our team. This person will work closely with our Clinic Manager to maintain the day to day structural organization of the clinic and keep up with communication both within the Ascend Team and with existing and prospective clients. The ideal candidate will have office administration experience and be able to accommodate the growing needs of our practise with regards to an evolving clinic schedule.
The candidate must have excellent verbal and written communication skills, particularly through phone and email. Candidates must be able to quickly adapt to new tasks and must be willing to learn. It is important that the candidate can think on their feet and knows how to take initiative. The successful candidate should have excellent customer service skills and conflict resolution skills. The ability to think and work creatively will benefit you in this position.
The successful candidate will work well in a team setting, having the ability to handle several tasks in an organized manner at any given time. The role will require you to assist all staff on completing assigned projects in a timely manner.
Key Responsibilities
Maintain excellent relationships with employees, clients, and external contacts
Maintain the general organization of the office space and inventory of office supplies
Respond to public inquiries regarding our services
Assist clinic staff with administrative tasks
Edit documents for accuracy and formatting
Maintain strict confidentiality with regard to business and client information
Ensure timely communication to therapists of matters of a pressing nature
Maintain the organization of physical and electronic files
Other administrative duties as assigned
