Key Accountabilities
Executive Support:
Provide comprehensive administrative support, including managing complex calendars, scheduling meetings across multiple time zones, and coordinating travel arrangements (domestic and international).
Communication Management:
Act as a primary point of contact, screening calls, managing correspondence, and drafting professional emails and presentations. Ensure timely and accurate flow of information.
Meeting & Event Coordination:
Plan and execute meetings, conferences, and special events, including preparing agendas, coordinating logistics, and managing catering.
Project Assistance:
Assist with special projects, conducting research, compiling data, and preparing reports as needed. This may involve collaborating with various departments and stakeholders.
Expense Management:
Process expense reports, track budgets, and reconcile financial records with meticulous attention to detail.
Confidentiality:
Handle sensitive information with discretion and maintain strict confidentiality.
Office Management:
Oversee office operations, including ordering supplies, maintaining equipment, and ensuring a professional and organized work environment.
Gatekeeping:
Skillfully manage access to the executives, prioritizing requests and ensuring efficient use of their time.
Problem Solving:
Proactively identify and resolve potential issues, anticipate needs and take initiative to ensure smooth operations.
Required
5+ years of experience as an Executive Assistant supporting senior-level executives.
Proven ability to manage complex calendars, coordinate travel, and plan events.
Exceptional organizational, time-management, and prioritization skills.
Excellent written and verbal communication skills in both English and Japanese
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Experience with Concur, Salesforce, project management software.
Strong attention to detail and accuracy.
Ability to work independently and as part of a team.
Bachelor's degree preferred.
Demonstrated ability to maintain confidentiality and exercise discretion.
Proactive, resourceful, and able to thrive in a fast-paced environment.
