We are seeking a detail-oriented and organized Appointment Coordinator to join our team. This role is essential in managing scheduling, providing excellent customer service, and supporting administrative functions within our office. The ideal candidate will possess strong clerical skills, proficiency with office software, and the ability to handle multiple tasks efficiently in a fast-paced environment. Experience with medical or dental office procedures is a plus, along with familiarity with Shop Monkey
Duties
Manage appointment scheduling and coordinate calendars using shop Monkey CRM
Answer multi-line phone systems with professionalism and courtesy, demonstrating excellent phone etiquette
Provide exceptional customer support through phone, email, and in-person interactions
Perform data entry tasks accurately, including maintaining patient or client records and filing documents systematically
Assist with front desk responsibilities such as greeting visitors and managing check-in/check-out processes
Utilize clerical experience to handle administrative tasks like proofreading documents, organizing files, and supporting bookkeeping activities with QuickBooks
Support medical or dental office operations by managing appointment confirmations, rescheduling, and follow-up communications
Maintain organized records and ensure all documentation complies with office procedures and confidentiality standards
Experience
Previous clerical or administrative experience preferred, especially in automotive industry
Familiarity with QuickBooks, Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry systems
Strong organizational skills with the ability to multitask efficiently in a busy environment
Excellent customer service skills combined with professional phone etiquette
Experience handling multi-line phone systems and front desk operations is highly desirable
Basic bookkeeping knowledge including familiarity with QuickBooks is advantageous
Proven ability to proofread documents accurately and manage filing systems effectively
Prior experience in medical or dental office environments such as dental receptionist roles or medical office support is a plus
