We are seeking a dedicated and organized Appointment Coordinator to join our team. In this role, you will be responsible for managing and scheduling appointments efficiently while providing exceptional customer service. The ideal candidate will possess strong communication skills and the ability to multitask in a fast-paced environment. This position is crucial in ensuring that our clients receive timely and effective support.
Responsibilities
Schedule and confirm appointments for clients, ensuring optimal use of time and resources.
Maintain an organized calendar, coordinating with team members to avoid scheduling conflicts.
Provide excellent customer service by addressing client inquiries and resolving any issues related to appointments.
Follow up with clients to remind them of upcoming appointments and gather necessary information.
Input and update client information in the database accurately.
Collaborate with other departments to ensure seamless communication regarding client needs.
Assist in administrative tasks as needed to support the overall operations of the office.
Qualifications
High school diploma or equivalent; additional education or certification in administration is a plus.
Proven experience in a similar role or customer service position preferred.
Strong organizational skills with attention to detail.
Excellent verbal and written communication skills.
Proficient in using scheduling software and Microsoft Office Suite.
Ability to handle multiple tasks simultaneously while maintaining a positive attitude.
Previous Dealership experience or an asset.
CDK experience an asset.
Strong problem-solving skills and the ability to work independently as well as part of a team.
