Brief



The AP/ Administrative Assistant will be the first point of contact when visitors enter our building. This individual will also work with the Thunder Creek Pork team to ensure all administrative duties are completed and contribute to the efficiency of the production facility.

Responsibilities



Office Administration

Manages incoming calls and transfers calls accordingly.

Greets guests in a friendly and professional manner on the phone and in person.

Maintains the office file systems.

Supports employee time and attendance functions.

Ensures proper sign in and sign out of all visitors.

Coordinates outgoing courier packages.

Picks up and distributes incoming mail daily; and stamps outgoing mail daily.

Accounts Payable

Ensures invoices have matching purchase orders and packing slips.

Ensures any employee expense claims have proper authorization and comply with the company's expense claim policy.

Obtains necessary authorizations and verifies invoices have all account /cost center codes correctly filled out by department managers.

Processes accounts payable invoices into the AP sub-ledger including inputting and coding timely.

Verifies the accuracy of vendor accounts by reconciling monthly statements and related transactions.

Ensures all AP entries are completed by no later than the 2nd business day of every month.

Assists with accrual preparation.

Customer Invoice

Enters customer sales orders and employee staff orders in Macola to generate pick slips.

Completes invoice or packing slips to customers or employees after sales orders are completed in IMS.

Ad Hoc

Completes daily hog harvest report.

Covers Export Document Duties as needed.

Other duties and/or projects as required.

Position Requirements & Skills



Completion of diploma or certificate in Administration.

5+ years minimum experience in an administrative role.

Previous experience in a unionized environment is considered as an asset.

Strong ethics regarding confidentiality and privacy.

Proficient in MS Office 360

Ability to prioritize tasks in a fast paced, changing environment through frequent interruptions and changing deadlines.

Ability to communicate effectively; excellent written, verbal and interpersonal skills; aptitude to listen, ascertain the needs of clients and responds accordingly in a timely and efficient manner.

Ability to work effectively and cooperatively with all stakeholders to foster ongoing mutual respect and trust.

Ability to identify implications and works to minimize any negative effects by developing contingencies or alternatives when commitments cannot be met and involve and/or alert those affected.

Ability to work with others and build effective relationships to accomplish common team goals and objectives.

Ability to problem solve; consider alternative solutions by weighing the potential risks and impact against the desired outcome.

Demonstrated ability to collect data from a variety of sources, analyze, produce reports and make recommendations.

Demonstrated knowledge and abilities to utilize related equipment and computerized software programs.

Ability to work both independently and as an effective team member.

Physical Requirements



Sitting and standing for extended periods of time.

Typically works Monday to Friday 8:00 am to 5:00pm with some weekend requirements.

Job Types: Full-time, Permanent

Pay: $37,144.25-$50,000.00 per year
