Description
Position: Administrative Assistant - Construction Sector
Location: Lachine (Full-time, 40 hours/week - on-site) access to car preferred (public transit is limited)
Salary: $50,000 - $70,000 (based on relevant experience)
Do you have at least 3+ years of administrative experience specifically in the construction industry? Are you autonomous, proactive, detail-oriented, and ready to take on more responsibility by truly coordinating and supporting construction projects? If so, this opportunity is for you!
In this role, you will play a key role in supporting both the project management and estimating teams with administrative coordination and project follow-up.

What We're Looking For:
- Minimum 3+ years of experience in an administrative role within the construction industry (required)
- Strong spoken and written French language (required)
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong organizational skills and attention to detail
- Ability to work independently, handle multiple priorities, and take initiative
- Strong communication skills and a collaborative mindset
Key Responsibilities:
Project Coordination & Administration
- Collaborate closely with management to implement tracking tools and directives
- Coordinate internal projects to ensure timely execution within budget
- Organize project handover meetings between estimating and project teams, including logistics, preparation, and follow-ups
- Draft meeting minutes, internal communications, and various administrative documents
- Proofread, format, and ensure the quality of reports, correspondence, presentations, and other materials
- Help develop company policies and procedures to increase efficiency
- Manage invoicing and supplier quote requests as needed
- Support general administrative tasks to ensure smooth operations
Estimating Support
- Manage invitations to bid and submissions from general contractors
- Maintain the submission calendar and submission tracking sheet
- Monitor and distribute addenda to the estimating team
- Follow up on ongoing submissions to ensure proper information
