We are currently looking for a Portfolio Operations Administrator. Portfolio Operations is a fast paced, deadline driven area responsible for the capture of essential information used to value mutual funds, ETFs, and SMAs. Department functions include oversight of securities pricing, corporate actions, dividends, trade reporting, settlements, FX, cash projections, market documentation, and securities lending. We are a shared services division providing services to IG Wealth Management, Mackenzie Investments and Investment Planning Counsel, in support of more than 400 investment funds.

This position requires a self-motivated individual to play a key administrative role. Reporting to the Director, Portfolio Operations Oversight & Governance, the successful candidate will be responsible for:

  • Rigorously executing critical daily processes to provide essential inputs for fund, ETF, SMA, and LP accounting
  • Promptly and accurately preparing documentation in conjunction with the legal and compliance departments for foreign markets, tax agencies, brokers, IPOs, loans, and private placements
  • Communicating professionally with portfolio managers, custodians, issuers, data vendors, brokers, auditors, and law firms
  • Supporting the daily pricing and fund valuation process
  • Operating and supporting specialist systems for securities valuations and corporate actions
  • Gathering, analyzing, validating and distributing dividend, corporate action, and proxy information
  • Ensuring correct and timely posting of all corporate actions, including solicitation and onward reporting of instructions, and identifying financial accounting and tax accounting implications
  • Researching and creating security profiles of financial instruments
The following qualifications will assist the successful candidate in carrying out these responsibilities:
  • Two to four years experience in an accounting/operations related position (experience with mutual funds, securities/investments, foreign currency translation and derivatives preferred)
  • Post-secondary education in accounting/finance/business/commerce or equivalent
  • Successful completion of the CSC is required; completion of DFC is an asset
  • Programming/development and data management skills an asset
  • Proficiency in MS Excel and Word
  • Familiarity with systems such as MPower, Bloomberg
  • Ability to perform in a time sensitive environment and deal with fluctuating work volumes
  • High attention to detail
  • Good written and verbal communications skills
