Position SummaryReporting to Associate Director Community and Public Affairs, the Alumni Engagement Liaison is responsible for developing and implementing strategic initiatives to engage alumni, promote their involvement, and support North Island College\'s mission and vision.The ARL plays a pivotal role in fostering strong connections between the North Island College and its alumni community. The ARL is responsible for a wide range of coordination functions, including the set up and maintenance of alumni profiles and information, communication with alumni, community partners, corporate affinity partners, and vendors, liaising with NIC departments and colleagues in alumni program development and implementation, event planning and related activities, alumni campaign development and monitoring.The Alumni Relations Liaison will also coordinate activities with the North Island College Foundation (NICF) where beneficial.

Duties & Responsibilities * Develops and maintains of policies, procedures, and reporting systems specific to NIC alumni relations.

  • Researches, develops, edits, and monitors alumni correspondence, programming, events and alumni feedback.
  • Maintains alumni profiles and information including all reports related to alumni engagement.
  • Develops evaluation of alumni programs and services; analyzes statistical information, documents and reports results.
  • Plans alumni events with a collaborative, best practices philosophy, including event guidance, supplier correspondence, and reporting to the internal NIC community when requested.
  • Coordinates and assists in the preparation and monitoring of relevant budgets, contracts, sponsorships, grant proposals, project reports, alumni benefit programs and adheres to all college-wide guidelines and policies, and external funding guidelines.
  • Develops and maintains operating procedures and protocols for alumni relations.
  • Attends team meetings, including alumni advisory bodies as needed, providing a variety of support from project lead to record-keeping as needed.
  • Receives, assesses, and directs alumni, student, instructor, staff and external queries and concerns across the division, working across all institutional work groups as needed.
  • Maintains ongoing relationships with other post-secondary institutions and alumni associations, secondary schools, other agencies, and community groups.
  • Staying current, and advising college colleagues, about best practices in alumni relations.
  • Liaises with local and regional industries, businesses, organizations and other community stakeholders.
  • Performs other operational duties, as assigned, with similar scope and complexity.
Required Education & Experience * Post-secondary Degree in Communications, Project Management or a related discipline is required.
  • Minimum of two (2) years experience in alumni relations, event planning, proposal writing, fundraising, or a related area, with a strong background in database maintenance and systems use; preferably within a post-secondary or non-profit environment.
  • Equivalent combination of experience and education may be considered.
Required Knowledge Skills & Abilities * Excellent interpersonal, communication, organizational, and time management skills with the ability to plan and prioritize tasks and efficiently meet deadlines in a fast paced, multi-tasking environment.
  • Demonstrated ability to analyze and interpret data, assess and resolve problems. Must be able to prioritize tasks and responsibilities, while displaying initiative, addressing operational issues, solving problems, and working independently.
  • Ability to use sound judgment and make effective decisions including consulting with the ED as needed.
  • Ability to work independently, initiative and the skill to prioritize work within general guidelines and with minimal direction.
  • Knowledge of, and experience with, public sector reporting, community and industry engagement, and membership-based organizations.
  • Demonstrated basic experience with budget monitoring, management, and reporting functions.
  • Intermediate level of proficiency with MS Office software including Word, PowerPoint; with advanced proficiency required in Excel. This will include fast, accurate word processing skills, and the ability to use efficient and cost-effective approaches to integrate technology into workplace processes.
  • Excellent written communication skills, with thorough knowledge of business English, grammar and language, applied in an administrative context.
  • Expertise in the development and maintenance of data management systems including adherence to privacy and freedom of information legislation and guidelines.
  • Ability to work as a collaborative, productive team member, with demonstrated experience dealing with, and maintaining, a high degree of confidentiality, professionalism, and cultural awareness/sensitivity.
  • Knowledge of and experience with the following systems are considered assets; e-commerce and online merchant systems, Colleague student records system, and accounting software.
  • This position may be required to occasionally work outside normal office hours.
  • The successful candidate must have a current Class 5 driver\'s license and access to a vehicle as traveling will be required.
  • Proven ability to work cooperatively as part of a team and use good judgment, tack and diplomacy.
  • Excellent research, presentation, written, public speaking skills.
