About the University Advancement Division
Although Mount Royal University's history dates back more than 100 years, our transition from college to university is relatively recent, bringing with it unique and exciting fund development opportunities. We began our last $250 million transformative campaign as a college, but we finished it as a university. The new strategic plan for the University places a priority focus on fundraising, and sets very ambitious targets to triple the total value of scholarships available to students, more than double the size of the endowment portfolio, and increase alumni philanthropy exponentially in the coming years. A new and exciting campus master plan will guide the construction of new facilities on campus for the next 20 years. The Office of University Advancement supports Mount Royal University through Marketing & Communications, Alumni Relations, and Development support.
About the Role
The Executive Assistant to the Associate Vice President, Development & Alumni Relations provides administrative and strategic executive support to the AVP and the Foundation Board of Directors. As the senior administrative employee in Development, this position coordinates general office functions and administrative support.
This is a full-time replacement term position ending April 2026.
Responsibilities
Provide support to the AVP:
Prepare drafts of planning documents, proposals, and presentations
Coordinate registration and travel arrangements for workshops and conferences
Manage mail, correspondence and calendar scheduling, including individual and committee meetings
Process and submit business expenses and corporate P-Card expenses
Assist with planning and organizing Board-related events
Respond to inquiries from donors, University administration and Board of Directors
Liaise with the President's office, and the Office of the Vice President Advancement, providing information and support
Coordinate general office operations and staff events, and liaise with University Advancement administrative staff on matters relating to office logistics
Facilitate HR-related processes including new employee requirements, and interview facilitation, candidate follow up and other duties as assigned
Update organizational charts, phone lists and Development Department procedures
Input Banner updates for board members and other external contacts
Act as Assistant to the MRU Foundation Board of Directors:
Serve as point of contact for the Board of Directors, managing communications to the Board on behalf of Development and the University
Schedule Board, Committee and Annual General Meetings and make all logistical arrangements
Assist with agenda development and compile and distribute packages for Board meetings
Record and distribute the minutes of Board meetings
Maintain, prepare and update Board lists, manuals and materials and circulate as appropriate
Support Board committees as required, and attend Governance Committee and Finance Committee meetings and record and distribute meeting minutes
Other Duties:
Prepare and submit corporate documents to the government such as the Alberta Annual Return and the annual renewal of The Foundation's Charitable license
Assist Donor Relations officers when required with donor events and correspondence
Participate in the development of policy and procedures for Foundations operations
Back up Fund Development assistant and assistant to the Vice President-Advancement if needed
Assist with invites, registration, RSVP's and after event follow up
Qualifications
Bachelor degree or equivalent
5 - 8 years of office administration experience, including:
Written and financials skills, and
Ability to deal with frequent interaction with colleagues and external individuals and organizations
Highly skilled with Microsoft Office, Google Suite and Raiser's Edge
Experience with Board management would be an asset

Salary: $49,774.00 - $55,982.00 per annum
