Overview:
Term: 1 Year

The Alumni Officer, Volunteer Engagement will augment the role of a Waterloo alumnus by developing strategic volunteer programs and fostering mutually beneficial volunteer opportunities for alumni that will contribute to University of Waterloo’s Advancement objectives. They will build, implement and support alumni volunteer programs and is responsible for the development and management of the Alumni Volunteer Engagement Strategy. This role will support Office of Advancement, Faculty and College volunteer programs; providing services, tools and resources to areas that contribute to the advancement of the University of Waterloo. This position has a dual function role as they report to the Senior Alumni Officer, Outreach and receive functional direction from the AVP, Campaign Strategy and Implementation. Responsibilities:
Manage Alumni Relations Volunteer Engagement Strategy

  • Provide ongoing support for volunteer roles across Advancement, continue to build and enhance volunteer programs by developing new volunteer roles that advance UWaterloo
  • Assist with the recruitment, screening and onboarding of Advancement volunteers (ex. volunteers involved with Alumni Relations, Keystone, Campaign, Faculties and Colleges)
  • Actively promote volunteerism at the University of Waterloo, contributing to the Office of Advancement’s vision for culture of philanthropy
  • Work with campus partners and stakeholders to develop and manage rewarding volunteer opportunities for UWaterloo alumni
  • Collaborate with Advancement colleagues to recognize volunteers both through internal vehicles and utilizing external opportunities that both recognize volunteer contributions and promote the University of Waterloo
  • Contribute and provide support for volunteer data management in the Raiser’s Edge database
  • Develop and manage volunteer communication plans that will keep volunteers connected and prepared to contribute to Advancement objectives
  • Develop tools for tracking and reporting the impact and outcomes of volunteer programs

Develop Resources and Tools to Support Volunteer Activity and Initiatives
  • Support Advancement and campus partners through developing position descriptions, event tools and resources, templates, communication pieces, recognition plans etc.
  • Develop, administer, and review policies and procedures which guide volunteer programs and services, and reflect the overall values of UWaterloo
  • Strive to incorporate innovative practices and procedures that will enhance volunteer management (i.e. online volunteer toolkits, virtual training opportunities, social media etc.)
  • Develop and manage a calendar of alumni activity to connect alumni to interested stakeholders

Collaborate with Campus Partners
  • Collaborate with on campus partners to capitalize on alumni volunteer networks
  • Assist campus partners in meeting their objectives by leveraging alumni relationships
  • Contribute to the Raiser’s Edge database to ensure transfer of pertinent information to campus partners
  • Promote the impact of alumni volunteers to the University of Waterloo community

Manage and Expand Alumni Relations National Chapter Program
  • Provide superior support and service to alumni volunteers that operate UWaterloo Alumni Chapters in Canada, this includes but is not limited to: event logistical support, strategic planning for chapter regions, acting as a liaison between the chapter and University stakeholders, providing brand awareness support, working diligently to ensure chapter volunteers stay connected to UWaterloo and engaged in our work
  • Manage and approve chapter budgets and expenses
  • Actively promote the program to alumni and capitalize on the efforts of chapter volunteers for the advancement of UWaterloo
  • Provide succession planning support to current volunteers and assist with transitions to ensure chapter activity continuity
  • Recruit, screen, onboard all volunteers; provide ongoing supervision and regular evaluation
  • Work with the Sr. Alumni Officer, Outreach and Alumni Officer, International to complete program reviews and make recommendations for program revisions
  • Collaborate with Advancement leaders and alumni volunteers to strategically grow the program across Canada

Manage and Expand Alumni Relations Global Ambassador Program
  • Provide superior support and service to alumni volunteers that act as ambassadors for the University: acting as a liaison between the chapter and University stakeholders, working diligently to ensure volunteers stay connected to UWaterloo and engaged in our work, providing promotion and brand awareness support
  • Collaborate with Waterloo International and Co-operative Education to actively promote the Global Ambassador Program to students travelling abroad
  • Recruit volunteers in regions strategically relevant to the University to join the Global Ambassador Program

Create, Implement and Manage Volunteer Programs for Campaign
  • Working with AVP, Campaign Strategy and Implementation as well as prominent alumni, plan and develop programs to capitalize on the efforts of campaign volunteers for the advancement of UWaterloo
  • Develop resources, tools and succession plans for campaign volunteers
Qualifications:
  • University degree or an equivalent combination of education and experience
  • Experience building and managing complex volunteer management programs; including recruiting, onboarding and managing volunteers
  • Proven leadership and volunteer management experience
  • Experience working within a campus environment and specifically with University alumni
  • Required to manage conflicting priorities and timelines in high pressure situations
  • Experience working with individuals from different cultures, adapting communication styles and being flexible to various time zones and communications tools (i.e. conference, Skype, Go To Meeting)
  • Experience working within a campus environment, collaborating with various levels of the University
  • Experience managing budgets
  • Event planning experience required
  • Strong relationship qualification, cultivation and development skills required
  • Project management skills with ability to manage concurrent projects with tight deadlines
  • Managing multiple priorities and timelines necessary
  • Ability to take initiative where minimal direction is provided
  • Excellent written and verbal communication skills are required
  • Extremely detail oriented
  • Proficient in Microsoft Office
  • Proficient with Raiser’s Edge
  • Familiar with Online Content Management Systems an asset
  • Strong relationship building and management skills required
  • Should demonstrate exceptional planning, teamwork and organization skills; must be detail oriented
  • Ability to build consensus, foster teamwork among a variety of stakeholders and lead integrated project teams
  • Ability to network and confidently represent the university at alumni events
  • Advanced relationship building and management skills required
  • Must have initiative, enthusiasm and be an independent thinker who thrives in a cooperative environment
  • Must be a strong team member
  • Must be proficient in high profile networking environments and be comfortable with public speaking when needed
  • Ability to effectively communicate with internal and external audiences
  • Should possess a capacity for problem solving with a friendly, professional, customer service oriented personality
  • Willingness and ability to work evenings and weekends as required. Occasional travel required
Vaccination Requirement Statement:
Effective May 1, 2022, the University suspended its Vaccination Requirement.
