Position Summary
We are seeking a motivated and detail-oriented Air Import & Export Coordinator to join our growing team. This role involves coordinating and managing end-to-end airfreight shipments (both import and export), preparing documentation, communicating with clients and overseas agents, and ensuring a high level of customer service and operational accuracy.
You will work closely with clients, carriers, agents, and internal teams to manage the full logistics process--from booking and documentation to delivery and billing--while continuously looking for ways to improve efficiency and client satisfaction.
Essential Functions
Air Export Coordination:
Communicate with clients, prepare export bookings and quotations.
Arrange pre-carriage and create/file shipping documents including Air Waybills and CERS/B13A.
Coordinate with airlines, trucking providers, and warehouses for timely shipments.
Ensure billing is completed accurately and promptly (within 1 business day for air shipments).
Communicate with agents and receiving terminals to track cargo and maintain service standards.
Monitor documentation and ensure compliance with export deadlines and regulations.
Air Import Coordination:
Prepare import manifests and customs documentation in line with agents' consolidation data.
Coordinate delivery and unloading arrangements with trucking providers and warehouses.
Distribute manifests and collect original documentation and payments as required.
Keep clients informed of cargo status, shipment delays, or diversions.
Support clients with issue resolution and ensure prompt, accurate responses to inquiries.

Respond to all client inquiries in a timely, professional manner.
Handle rate inquiries and coordinate with agents to obtain destination charges.
Prepare and follow up on freight quotes.
Upsell value-added services where appropriate (e.g., cargo insurance) to improve profitability.
Collaborate with internal departments to improve processes and client experience.
Maintain high performance standards and a commitment to continuous improvement.
Support fellow employees to achieve shared goals and contribute to a positive work environment.
May require occasional travel for client visits or industry conferences.
Other job duties as assigned.
Education Requirement:
Successful completion of the CIFFA Education Program.
Required Skills and Knowledge:
Completion of CIFFA Education Program required.
Minimum 2 years of experience in freight forwarding, air transportation.
Strong communication and customer service skills.
Excellent organizational, analytical, and problem-solving abilities.
Ability to multitask and work under pressure in a fast-paced environment.
Proficiency with logistics software (CargoWise) and general computer applications.
Willingness to grow and support the success of fellow team members.
