The Role

We're looking for a detail-oriented, people-savvy professional to be the backbone of our growing agency. As our Agency Administrator & Event Coordinator, you'll be the organizational force that keeps our matchmaking magic running smoothly while creating memorable experiences that bring singles together.

This is the perfect role for someone who loves both behind-the-scenes coordination and front-facing event execution--someone who thrives on systems, enjoys working with people, and wants to be part of something meaningful.

What You'll Do

Agency Administration (60%)

Manage the Diamond Directory:

Maintain and update our exclusive roster of eligible singles with accuracy and confidentiality

Client Vetting & Onboarding:

Conduct background checks, verify references, and ensure all clients meet our high standards

Agent Support:

Provide administrative support to our matchmaking agents, helping them manage their rosters and client relationships

Database Management:

Keep detailed records of client profiles, preferences, match history, and communications

Lead Generation Support:

Assist the recruiting team with outreach, follow-ups, and converting prospects into roster members

Documentation & Compliance:

Manage contracts, agreements, and ensure all administrative processes run smoothly

Client Communication:

Handle inquiries, schedule consultations, and provide exceptional customer service

Process Optimization:

Identify opportunities to streamline operations and improve efficiency
Event Coordination (40%)

Create Experiences:

Design engaging activities and connection exercises that align with our brand

Marketing Support:

Collaborate on event promotion and social media content

Post-Event Follow-Up:

Gather feedback, maintain relationships with attendees, and identify potential clients
You're a Great Fit If You:

Are exceptionally organized with outstanding attention to detail Have experience in administrative roles, operations, or project coordination Understand the importance of confidentiality and discretion when handling sensitive information Have event planning or coordination experience (weddings, corporate events, hospitality) Are comfortable conducting background checks and vetting processes Have excellent communication skills--both written and verbal Are tech-savvy and comfortable with CRM systems, databases, and scheduling tools Can juggle multiple priorities and deadlines without breaking a sweat Have a warm, professional demeanour and enjoy working with high-caliber clients Are proactive, resourceful, and solution-oriented Believe in the mission of helping people find meaningful relationships
Required Qualifications

2+ years of administrative, operations, or coordination experience Event planning or hospitality experience (professional or volunteer) Proficiency in Microsoft Office, Google Workspace, and database management Excellent organizational and time management skills Strong interpersonal skills and emotional intelligence Ability to work flexible hours, including some evenings and weekends for events Based in Vancouver, BC or surrounding areas
Preferred Qualifications

Background in luxury hospitality, concierge services, or high-end client services Event management certification or training Social media and marketing support experience
