Actual Media is seeking an enthusiastic, committed, and resourceful Event Coordinator to join our team. This full-time Contract role reports to the Event Director and provides the opportunity to work on all aspects of event planning, production, and communication activities supporting our client events, as well as our in-house publishing events.
The successful candidate will have excellent written and oral communication skills, be hard-working, creative, people-friendly and efficient. If you are organized, technically savvy and take the initiative to make success happen, then we want you to be an Actual! This is an ideal role for someone who's passionate about creating (organizing, communicating) great experiences and bringing people together with important content through virtual and in-person events.
This is a hybrid work environment: candidates must have the ability to work from our Yonge/Eglinton office at least once per week and periodically as required. Must be available to support Toronto area events in person with the potential to travel across Canada for events as requested.
Key Responsibilities
Support the Event Director with event logistics for assigned in-house and third-party events.
Support the management of event critical paths, ensuring all timelines and deliverables are met.
Execute virtual events and webinars in a technical support capacity when required.
Support with logistical, room, and event details for each event as required
Conduct post-event evaluations when required to determine how future events could be improved
Provide periodic reports, updates, and briefings to all stakeholders
Communicating with clients and third-party event stakeholders
Support with communications for Events, including working closely with the Events & Marketing Coordinator
Support the development and execution of marketing plans/communications calendar across a portfolio of events
Providing support pre-event with logistics and planning preparation
Providing support during assigned events on-site
Coordinating with vendors as needed on behalf of Actual Media
Supporting with virtual event platforms/apps as needed
Other event support duties as agreed

Familiar with newsletter and marketing platforms (e.g., MailChimp)
Familiar with event apps and webinar platforms

Professionalism, time management skills, and the ability to work both independently and as part of a team.
Preferred Qualifications
Bachelor's degree
Relevant experience in event management/coordination
2+ Years' experience supporting engaging digital and physical events
Strong verbal and written communication skills
Strong people skills to effectively collaborate with other stakeholders
Strong working knowledge of event technology platforms
Detail-oriented with the ability to prioritize multiple projects simultaneously in a fast-paced environment
Experience in email communications development and content production/management
Excellent written communication skills, including proper spelling, grammar and punctuation, with the ability to effectively articulate information and interact with stakeholders both verbally and through written communication
Experience with Google suite, Asana, and Slack preferred
