Saint Paul University offers an environment conducive to professional growth and competitive benefits.SummaryThe incumbent is responsible for various admissions activities; depending on the period in the admissions cycle, the incumbent may be asked to be responsible for opening dossiers, calculating averages, and handling and evaluating applications for admission and admission scholarships for all University programs. The incumbent ensures the interpretation and application of practices, processes and policies aimed at increasing the effectiveness and efficiency of the admissions process and attaining the admission objectives of the service and the University.Key Responsibilities

  • Assemble applications for admission and input data in uoCampus; prepare acknowledgements of receipt; manage and numerically file documents in Xtender.
  • Receive and process students documentation as part of the admissions process to identify official and non-official documents, according to the established norms.
  • Manage the digitization and indexing system for student dossiers efficientlyas well as Flag any problems to the admissions manager and/or the Associate Vice-rector, Strategic Enrollment Management.
  • Calculating averages: calculate admissions averages based on the norms established by the University. Verify the accreditation of Canadian and international universities as well as the authenticity of documents submitted and note admission conditions at the appropriate time.
  • Analyze and prepare admission dossiers for the undergraduate and graduate levels based on the Universitys requirements and ensure that all requirements are met.
  • Determine candidates eligibility, manage data entry and prepare the dossiers for evaluation by the admission committees (masters and doctorate levels). Check the accuracy of the lists of different types of student status and make the necessary corrections.
  • Admit, defer or reject candidates following an analysis of the dossier and ensure follow-up with candidates. Enter the recommendations for admission offers and scholarship offers in the computer systems and actively participate in updating information relevant to admissions on the Universitys website.
  • Inform the admissions coordinator of any problems encountered during the admissions cycle to ensure maximum efficiency and quality services offered to candidates.
  • Stay up to date with the educational system in Canada and abroad.
  • Take part in improving the uoCampus system.
Education, Experience, Knowledge and Abilities
  • Relevant university training or a combination of training and experience that is deemed equivalent.
  • General knowledge of the university system and admissions processes in Canada and abroad.
  • Experience with data entry.
  • Experience in an advisory and customer service role in an educational setting.
  • Experience with a multicultural clientele.
  • In-depth knowledge of software tools such as Windows, word processing, presentation software, spreadsheets, Internet, email and electronic schedule-planning tools.
  • Knowledge of the student information system is an asset.
  • Meticulousness and keen attention to detail.
  • Tolerance for repetitive tasks.
  • Strong organizational skills.
  • Availability and flexibility to deal with emergencies.
  • Ability to collaborate and work as part of a team.
  • Sense of responsibility, good judgment, tact and discretion.

  • Recevoir et traiter la documentation des \xc3\xa9tudiants dans le cadre du processus dadmission afin didentifier les documents officiels et non officiels, selon les normes \xc3\xa9tablies.
  • Assurer une gestion efficace du syst\xc3\xa8me de num\xc3\xa9risation et dindexation des dossiers \xc3\xa9tudiants. Signaler les probl\xc3\xa8mes au gestionnaire des admissions et/ou vice-recteur associ\xc3\xa9, gestion des effectifs \xc3\xa9tudiants.
  • Calcul de moyenne : effectuer les calculs de moyenne dadmission selon les normes \xc3\xa9tablies de lUniversit\xc3\xa9. V\xc3\xa9rifier laccr\xc3\xa9ditation des universit\xc3\xa9s canadiennes et internationales ainsi que lauthenticit\xc3\xa9 des documents soumis et relever les conditions dadmission au moment appropri\xc3\xa9.
  • Analyser et pr\xc3\xa9parer les dossiers dadmission de tous les cycles selon les exigences de lUniversit\xc3\xa9 et sassurer que toutes les exigences sont satisfaites.
  • D\xc3\xa9terminer ladmissibilit\xc3\xa9 des candidats, g\xc3\xa9rer lentr\xc3\xa9e des donn\xc3\xa9es et pr\xc3\xa9parer les dossiers pour \xc3\xa9valuation par les comit\xc3\xa9s dadmission (2e et 3e cycles). V\xc3\xa9rifier lexactitude des listes des diff\xc3\xa9rents statuts des \xc3\xa9tudiants et apporter les corrections n\xc3\xa9cessaires.
  • Admettre, diff\xc3\xa9rer ou refuser les candidats suite \xc3\xa0 lanalyse du dossier et assure un suivi avec les candidats. Entrer les recommandations aux offres dadmissions et aux offres de bourses aux syst\xc3\xa8mes informatiques et participe activement \xc3\xa0 la mise \xc3\xa0 jour des renseignements pertinents \xc3\xa0 ladmission au site Web de lUniversit\xc3\xa9.
  • Informe le coordonnateur des admissions des probl\xc3\xa8mes encourus lors du cycle dadmission afin dassurer lefficacit\xc3\xa9 maximale et la qualit\xc3\xa9 des services offerts aux candidats.
  • Se maintenir \xc3\xa0 jour sur le syst\xc3\xa8me \xc3\xa9ducationnel au Canada et \xc3\xa0 l\xc3\xa9tranger.
