JOB DESCRIPTIONPosition: Administrator, People & Culture - GTADepartment: OperationsReports To: Director, People & CultureImplementation Date:November 2019Position Description: The Administrator, People & Culture administers HR policies, programs and practices by supporting the day-to-day operations of the People & Culture department, HR administration, recruitment processes, benefit administration and policies. The Administrator is responsible for corporate administrative and office management duties to support an efficient corporate head office we call "Store Support Centre".Key Responsibilities: People & Culture Administration

  • Support full cycle recruitment function, including posting, screening resumes, conducting phone pre-screens, arranging interviews, conducting phone interviews, coordinating job fairs, candidate communication and completing reference checks
  • Coordinates new hire information, terminations and resignations as it relates to human resources, payroll, IT requirements
  • Prepares onboarding package and assist with orientation for newly hired employees
  • Maintains and updates employee policies, HR forms, Payroll forms & checklists
  • Assists with providing interpretation of HR & Payroll policies
  • Providing general administrative support such as preparing correspondence, forms and reports.
  • Preparing and administrating documentation for new hires including criminal record checks
  • Managing sensitive and confidential matters like personnel relations, employee relations and organizational changes, planning and protecting the security of information, data and files.
  • Benefit administration including enrollments, terminations and changes
  • Perform various administrative tasks (follow-ups, production of reports, communications, etc.).
  • Prepare employee letters, communication, employment contracts
  • Produce monthly HR reports including Time & Attendance, Leave, Probationary & others as required
  • Enters employee information and makes changes to employee profiles in Ceridian Dayforce
  • Onboard new employees using the onboarding process steps which include preparation of new hire packages, submitting tickets for IT requirements, access cards, completing employee file, etc.
  • Administers Worker's Compensation and disability claims.
  • Provides administrative support to the Joint Health & Safety Committee
  • Perform other related duties as required
Corporate Administration
  • Answering telephones, providing general information and directing callers to appropriate lines.
  • Greeting Guests to the DYMON Store Support Centre & providing direction based on their requirements.
  • Maintenance and booking of boardrooms including ordering meals/refreshments.
  • Inbound and outbound mail and courier packages.
  • Maintains attendance records and updates Ceridian Dayforce for staff in DYMON Store Support Centre.
  • Maintain organization and cleanliness of the Store Support Centre
  • Responds to all requests from the ownership, Executive, Sr. & Vice Presidents for administrative support such as typing, copying, faxing, filing, arranging meetings, booking boardrooms & requests as provided.
  • Manages office, stationery and coffee supplies for the DYMON Store Support Centre and storage facilities and ensures stock is available when required; creates P.O.s and obtains approvals.
  • Responsible for all travel, conference and tradeshow arrangements (excluding DYMONAir).
  • Manages leases and maintenance calls for office equipment.
  • Provides administrative support to DYMON Store Support Managers, as directed.
  • Manages corporate files on-site and virtually.

  • Administer employee information to facilitate accurate and information is kept confidential
  • Administer HR programs and processes in accordance with established guidelines.

Qualifications:
  • Minimum 2 years HR experience in a small to mid-sized organization.
  • Post-secondary education in business administration, accounting and/or HR Management preferred.
  • Strong organizational and prioritization skills a must.
  • Excellent communication skills (verbal and non-verbal), and interpersonal skills.
  • Track record of driving positive employee relations that builds trust and open communication and Engages, Enables, and Empowers employees.
  • Customer focused and able to build trust and collaborative relationships at all levels.
  • Experience with full cycle recruitment activities including candidate sourcing, assessment, interviewing, orientation, onboarding.
  • High learning agility, strong capability for problem-solving, data analytic & decision making and comfortable with ambiguity.
  • Ability to work in a fast-paced environment while exhibiting tact, good judgment, diplomacy & flexibility.
  • Communicates effectively and diplomatically orally and in writing
  • Demonstrates a high degree of confidentiality and tact
  • Must be computer savvy, experienced and knowledgeable with Microsoft Office suite -Word, Excel, PowerPoint, and Outlook (advanced Excel preferred)
  • Familiarity and skill with the tools of the trade in human resources including HRIS, file management, and compensation & benefits administration
  • Demonstrated ability to work in a high-pace volume work environment
  • Proven ability to work under pressure and meet deadlines

Physical Demands & Environment:
  • Working out of our Greater Toronto Area Store Support Center
  • General office work, may involve sitting for long periods of time.
  • Light physical exertion will be required to assemble file storage boxes.
  • Some lifting (under 20 lbs.) may be required when unpacking office supplies or moving filing boxes.
