Job Description


Our client, a Canadian multinational energy transportation company with a focus on the transportation, distribution, and generation of energy, has an immediate need for an Administrator. This is a contract position for one (1) year located in Fort St. John, British Columbia

Description

The Administrator in this role will support management as well as Unifor employees and other functional groups as required. For Unifor alone, this position supports approximately 50+ employees for training requirements, corporate card expenses, LOA, etc. { Meeting support o Local OHSE o Measurement o Pipeline o Stations o Company Forums o Town Halls o Offsite meetings o Other meetings as required}

Accountabilities

  • Perform standard and advanced administrative and business operations duties for Manager(s).
  • Provides analytical support within a functional organization.
  • Coordinate new hire and existing employee moves by establishing IT accounts, phone extensions, etc.
  • Assists in the development of project plans.
  • Works with project manager(s) to ensure the integrity and completeness of status reports.
  • Coordinate meetings.
  • Make travel and lodging arrangements as required.
  • Prepares reports for use in business planning and analysis for assigned area.
  • Screen calls, distribute mail, and update contact lists.
  • Process expense reports, EMRs, and order supplies.
  • Create correspondence and maintain library of presentations.
  • Coordinate and implement special projects, maintain confidential files.
  • Attend staff meetings, TOR meetings, and provide meeting minutes.
  • Coordinate and manage vacation calendars.
  • Record and prepare minutes for the following:
  • TNorth OHSE
  • Measurement
  • Pipeline
  • Copressor Stations
  • Fleet Support (as required)
  • PCards
  • LOA, OOP, & cell phone allowance
  • Expense Reports for all field/ Unifor
  • Training Profiles
  • Updating tickets in Workday
  • Additions/ removals of training
  • Pulling training reports for TNorth/TCentral/TSouth Supervisors in both Workday & Power Bl
  • Schedule training courses, individual & group
  • Update Operator Qualifications
  • Optometry Form Requests
  • Managing TNorth Weekly Ops Schedule
  • Order office supplies, plus business cards
  • Front Desk Contact
  • Phones
  • Manage visitors
  • Enter/support inspections into Encompass
  • Update TNorth Telephone Directory
  • Other tasks as required
Required
  • 5+ years of experience in administration
  • Experience with coordinating new hire and existing employee moves by establishing IT accounts, phone extensions, etc.
  • Experience with assisting in the development of project plans and reports
  • Experience with recording and preparing minutes from meetings
  • Experience with coordinating and managing vacation calendars.
  • Experience with tracking training requirements and updating tickets qualifications for field staff
  • Experince with submitting expenses
  • Experience with Workday ( nice to have)
  • Experience with & Power Bl ( nice to have)
  • Solid computer skills - Microsoft Excel, Word, PowerPoint and Outlook
  • Strong communication and customer service skills
Additional Information

Candidates in this role will be working in the office Monday to Friday 7:00 am to 3:00 pm
