Reporting to the Senior Manager, Facilities, Canada.

What you will do:

  • Oversees building security access, including conducting bi-annual security audit of access cards and keys
  • Oversees onboarding and offboarding of new employees into the office
  • Oversees parking administration
  • Assists the FM in the preparation of facilities for occupancy and coordinating space requirements
  • Assist the FM to implement office moves, update records in OfficeSpace software
  • Assist with dispatching of work requests to technical staff or other service providers for repair and maintenance issues
  • Resolve problems associated with all building services including but not limited to: building access cards, parking, furniture, janitorial, fixtures and other equipment
  • Set up requisitions, receive invoices and arrange for payment of invoices in SAP accounting system
  • Coordinate fire drills and other safety related duties
  • Oversees the contract and relationship with plant and exterior maintenance contractor, janitorial, food/coffee/vending services suppliers
  • Assists FM in all aspects of project implementation, including acting as a liaison between FM and outside facilities contractors with regards to building improvements, space requirements, and renovations of existing facilities
  • Provide mailroom and reception coverage
  • Act as primary backup to FM and other responsibilities as assigned
What you will bring:
  • Facilities Management Professional (FMP) credential, or Accounting Certificate, or a combination of experience and education
  • 5 to 8 years coordinating facilities administration, moves, facilities daily operations, as well as special projects
  • Ability to prioritize work and guide competing deadlines and interests
  • Excellent customer service skills
