GENERAL ACCOUNTABILITY

Accountable for the efficient and confidential administrative support for the applicable Director(s) and their respective department(s). Accountable for all aspects of administrative office support including execution of, or management of both routine and/or specialized administrative support, leadership and development of clerical staff and management of, or participation in research, analysis and special projects.

LEADERSHIP ACCOUNTABILITIES

People

  • Leads, directs and manages staff to ensure the effective use of HR resources. Maximizes performance by selecting (hire external or promote from within), developing, mentoring and sustaining a high level of expertise among staff. Organize and direct work including prioritizing assignments, establishing objectives, providing regular performance feedback, conducting year end performance appraisals and taking
necessary corrective action as may be required. Assists in staff career planning, establishes development and succession plans and ensures relevant HR procedures and policies are followed (provisions of the collective agreement, performance appraisals, discipline, grievance,
etc). Accountable for provisioning and managing contracted resources as may be required. * Accountable for promoting a productive and positive environment for staff that encourages innovation, teamwork, initiative and models

corporate values. Motivates staff by assigning challenging work, planning and managing internal communications and awareness of corporate direction, mission, plans and activities. * Ensures all safety, health, environmental and code of conduct policies, programs and standards are understood and complied with at all

times. * Proactively identify and action opportunities to increase customer satisfaction (internal and external customers).

Financial * Ensure sound financial control within area of responsibility by developing annual operating and capital budgets, monitoring performance to budget and taking action as appropriate. Develops, negotiates and implements contracts for acquisition of goods & services related to area of responsibility.

Innovation * Accountable to research, develop, define and implement innovative long and short term plans, policies and objectives. Provides expertise to senior management providing education, studies and consulting on opportunities that will impact business strategy. Ensures alignment and integration with the corporate strategic plan and develops plan and operational metrics, including approaches for demonstrating business value.
  • Accountable to proactively identify and action opportunities to improve revenue and growth initiatives, decrease costs, increase customer service levels and increase employee engagement.
  • Accountable to develop opportunities to spark innovation in technology or product service delivery or process improvements.
SPECIFIC ACCOUNTABILITIES * Accountable for the efficient and confidential operation of the Director and department. Assists in setting priorities, actioning or delegating inquires where appropriate, determining and maintaining schedules, and attaining sufficient knowledge of current projects and activities within SaskTel.
  • Within scope of authority, act on behalf of Director to communicate and deal with external partners, customers, employees, and industry counterparts. When appropriate, review and prioritize incoming requests and correspondence to ensure appropriate action is taken by assuming ownership of the situation or delegating to the appropriate personnel.
  • Works within and cultivates an environment that supports innovation, team work and business leadership. Provides leadership and direction to the clerical team by creating a positive work environment capable of meeting current and future needs; and ensuring optimal individual and team performance through informal and formal training, mutual problem solving, specific goal setting, feedback and recognition by following the PFE process.
  • Assist in ensuring the financial success of the department by managing specific elements of the operating budget as well as implementing cost reduction initiatives, operation efficiencies, and potential application mechanization (e-Business) opportunities.
  • Expedite events for Human Resource Management, utilizing SAP, as required including position creation/maintenance, authorization to hire post, cost centre and personnel updates.
  • Participates as an active member of the management team by contributing to the group decision making processes. Takes action to realize change initiatives and mobilizes appropriate resources.
  • Manages and coordinates departmental projects as required. Interacts with internal departments and directs external contractors while continuing to meet day-to-day operational requirements. [ie. Building project planning and development (office moves/rearrangements, furniture requirements), Requests for Communication Services, Software/Hardware requirements, etc.].
  • Researches material and compiles internal/external information for various reports, special projects and events, for the Director and/or other managers in the department.
  • Manages meeting logistics pertaining to Director and department management team (ie. weekly/monthly/quarterly meetings, business planning and objective setting, steering committee meetings). Responsible for the preparation of the agenda, agenda submissions, meeting facilitation, documentation, action item follow up, and meeting logistics. Ensures that the preparation of correspondence, minutes, reports, Board and Executive presentations are done in a confidential, proficient and timely fashion.
  • Utilize the SAP system to meet functional requirements for Time Management (ie. daily, weekly, and monthly error reports, performing audits quarterly, timesheets, time reporting); Material Management; and Accounting Management (purchase orders, requisitions, good receipts, budget reports, project order numbers).
  • Ensures an objective and confidential approach to the preparation, filing, release or reference of all departmental information including all personnel and business issues.
  • Manages and coordinates the logistics pertaining to corporate and external customers. (ie. Meetings, demonstrations, tradeshow, training sessions)
QUALIFICATIONS * Certificate in Administration with significant administrative experience OR an equivalent combination of education and experience.
  • Must display broad conceptual skills and the ability to balance numerous activities while working with short deadlines.
  • Demonstrated ability to be a strong team player within the division and with external partners.
  • Ability to multi-task combined with extensive knowledge and experience with personal computers (Microsoft office software, Corporate systems such as SAP).
  • Ability to pay close attention to detail.
  • Extensive knowledge of SaskTel corporate structure, departmental functionality and corporate policy and procedure.
  • Effective Communications skills, both verbal and written.
  • Demonstrated ability for the direction, leadership, management and training of staff.
