Quality Assistant (Administrative Technician)

We are looking for an assistant / administrative technician to join our Quality, Evaluation, Performance and Ethics Department.

The Quality assistant / administrative technician performs various tasks related to the development, implementation and control of administrative standards and procedures and work organization. Performs various administrative tasks to ensure the completion of projects or the smooth running of an administrative unit's daily operations. Performs secretarial work of a complex nature that requires in-depth knowledge of all programs related to management.

The incumbent of this position has to:

Provide clerical and administrative support to the manager (60%):
- Assist the Director and/or any team member as needed in the performance of their administrative duties;
- Independently follow up on the day-to-day administrative management of the directorate, such as document management, both paper and electronic, supervisory meetings, vacation schedules, internal communications, document production, etc.;
- Maintain the agenda, schedule appointments and organize the Director's meetings taking into account priorities and emergencies;
- Prepare the agenda and make arrangements for meetings;
- Attend meetings when required, take minutes and follow up as necessary;
- Writes press releases, memos, reports and ensures their distribution;
- Support management in the preparation of correspondence, letters and other documents, both internal and external;
- Ensure the proper functioning, maintenance and updates of different software;

Assist in minor projects and activities proper to the department of quality, evaluation, performance and ethics (40%):
- Update databases to track the hospital's activities;
- Produce, as needed, statistical reports or other documents as requested by the Director;
- Collaborate in the drafting of procedures and internal work tools, see to their application as well as their updating, ensure the quality of the presentation of documents emanating from the management;
- Coordinate and/or actively participate in assigned management projects;
- Ensure the administrative follow-up related to the maintenance or repair of material and equipment in accordance with the established rules and resolve the associated problems;
- Participate in the continuous improvement of administrative functions;
- Is involved in the implementation/coordination of the accreditation process in accordance - Accreditation Canada standards. Provides support to teams for survey readiness;
- Organize and co-coordinate the activities related to the program "Employee Safety Recognition" (increasing patient safety awareness, recognizing employees for safety endeavors, etc.);
- Assist in activities related to patient safety occurrences; provide staff education on occurrence reporting; lead and manage minor projects as identified or assigned.

Requirements

  • Minimum a DEC in administration or equivalent; or a certificate of college studies in Administrative Techniques after having acquired relevant experience.
  • At least 3 years of experiences as an administrative technician or demonstration of appropriate equivalent skills
  • Ability to research and understand technical documents (an asset)
  • Bilingual (French, English) verbal and written.
  • Advanced knowledge of office software, specially Excel).
  • Great autonomy, discernment and judgment
  • Excellent work planning and organization
We offer you
Permanent full-time position (35 h/week)
Salary : $ 24.21 to $32.32 according to experience.
