Full Time | 40 hours per week | Monday to Friday with some evenings and weekends required



At Odyssey House, our vision is to help women and children break free from the cycle of family violence. As a member of our team, you will help to ensure consistent implementation of agency policies and procedures and ensure all staff, residents, and clients are cared for.

Summary of Position



The Administrative Receptionist is responsible for providing administrative and reception support to ensure the efficient operation of Odyssey House. This includes managing front-desk duties, maintaining administrative systems, and providing support to the Senior Leadership team. This position plays a critical role in supporting a safe, welcoming, and professional environment

Responsibilities



Responsibilities include, but are not limited to:

Greet, screen, and document all visitors, clients, staff, and maintenance workers, ensuring confidentiality agreements and security procedures are completed Provide reception coverage, including answering, screening, and transferring incoming calls Monitor security cameras, manage building access for approved visitors, and support a safe and secure environment for all residents, volunteers, and employees Maintain and order office supplies, including office furniture as approved Assist with preparation and distribution of the monthly employee newsletter Schedule, attend, record, and post staff meeting minutes Support the Annual General Meeting organization and preparation, including creation of the Annual Report Support HR processes such as maintaining electronic personnel files, tracking training, and reporting volunteer/practicum hours Manage incoming donations, including documentation, charitable receipts, donor recognition, and forwarding donor information to the Public Education team Collect and distribute incoming mail, including mail collection from off-site postal boxes Maintain and update the internal phone list and other documentation as required Prepare, review, and forward reports, invoices, and other documents as requested Manage gift card tracking and distribution Communicate effectively with staff, clients, and external agencies to support program and organizational needs Ensure consistent communication and support of clients in both the emergency and second-stage shelters Provide coverage of other administrative functions as needed

Qualifications



The successful applicant will possess one or more of the following:

Business Administration Diploma or related education preferred Minimum 2 years of administrative or reception experience Experience with non-profit organizations considered an asset Proficiency with Microsoft Office Suite, Adobe, and other relevant programs Valid Class 5 driver's license and reliable vehicle

Excellent verbal and written communication skills Strong organizational and time-management abilities Ability to prioritize tasks and work effectively in a fast-paced, high-stress environment Demonstrated professionalism, discretion, and sound judgment Ability to work both independently and collaboratively as part of a team Knowledge of the dynamics of domestic abuse and family violence is an asset
