She's Better Than Ever

is a premium 1-1 health and lifestyle coaching business helping high-performing women in their late 20s achieve sustainable fat loss, food freedom, and confidence as they prepare for major life transitions like career advancement, motherhood, or marriage.

This role is the operational hub connecting both ventures.

It is based out of our

home office

in a relaxed yet fast-paced setting. You'll have direct access to both founders and the opportunity to make an immediate impact by driving efficiency, supporting growth, and elevating the client experience across two exciting brands.

Role Overview



We're seeking a dynamic, tech-savvy coordinator who thrives on variety and loves solving problems. You'll split your time between supporting a VP who manages large-scale operations for a student entrepreneurship program and working with a health coach to build a movement around food freedom for women.

This isn't a typical coordinator role - you'll toggle between crafting Instagram DMs for wellness leads, designing training presentations for student entrepreneurs, coordinating podcast appearances, and optimizing client onboarding. If you love wearing multiple hats and want exposure to both creative wellness business AND structured operations, this is your dream role.

Core ResponsibilitiesSTUDENT WORKS MANAGEMENT PROGRAM SUPPORT (40%)



Operations & Systems Management



Manage updates and maintenance of operating systems, documentation and training materials Draft and send internal communications to keep the team aligned (weekly memos, training rollouts, policy updates) Revamp internal presentations and training document templates to ensure professional, consistent branding Keep projects on track by managing timelines, organizing materials, and coordinating meetings

Marketing & Partnership Development



Execute email marketing campaigns for outbound outreach Assist in managing partnerships with external businesses to identify recruiting and cross-promotional opportunities Monitor and respond to comments/reviews on Business Google Pages Maintain executive LinkedIn presence and YouTube channel with relevant content

Event & Community Coordination



Coordinate company virtual events, including logistical planning, managing invitations, and alumni speaker engagement Research and book venues for workshops, conferences, and internal team meetings

SHE'S BETTER THAN EVER COACHING SUPPORT (40%)



Sales & Lead Generation



Personalized direct messages on Instagram and other social platforms, including personalized follow-ups with warm leads who haven't booked calls yet Create and implement automated follow-up sequences to move leads through the sales pipeline Track lead conversion metrics and optimize messaging based on performance Future responsibility: Cold calling prospects

Content & Marketing Coordination



Content planning and scripting across YouTube, LinkedIn, Instagram, and TikTok (focused on sustainable fat loss, food freedom, anti-diet messaging for high-performing women) Schedule posts, monitor engagement metrics, respond to comments and DMs authentically Build community by engaging with target audience and potential clients in the wellness space

Podcast Growth Strategy



Research target wellness and women's podcasts (5K-50K downloads range) Craft personalized pitch emails that reference specific episodes and demonstrate authentic interest Manage booking calendar and coordinate guest appearance logistics

Client Fulfillment & Experience



Lead and optimize the entire client onboarding process for new 1-1 coaching clients (welcome emails, DocuSign contracts, platform setup, welcome calls) Manage the platform migration project - moving all client data, workout plans, and nutrition resources to new coaching platform Execute client appreciation program: coordinate personalized milestone gifts, handwritten thank-you cards, celebration packages for client wins Design professional presentation materials, slides, and visual assets for new course content and coaching modules Prepare materials and logistics for speaking engagements (slide decks, handouts, pre-event promotion)

EXECUTIVE & HOUSEHOLD SUPPORT (20%)



Since this role is based in our home office, occasional personal/household support helps keep operations running smoothly. These tasks include but are not limited to:

Proactively manage calendars across both businesses, resolving scheduling conflicts Arrange domestic and occasional international travel (flights, accommodations, detailed itineraries) Maintain a central tracking system for open personal and business projects to ensure deadlines are met Handle sensitive correspondence and organization of digital and physical assets Light vendor coordination for home office needs (scheduling maintenance, repairs, ordering supplies) Track and organize personal and business expenses in spreadsheets for monthly reporting

Position Type:

Part-time (30 hours/week) with the potential for more

Work Split:

~40% Student Works | ~40% She's Better Than Ever | ~20% Executive/Shared

Location:

In-person in Toronto, Ontario home office (some flexibility for focused deep work remotely)

Schedule:

Flexible hours with core availability 10am-4pm EST for real-time collaboration; some evening/weekend availability for event coordination as needed

Compensation:

$20-28/hour CAD based on experience

Start Date:

As early as October 14

Growth Path:

Potential to grow into full-time Operations Manager role (35-40 hours/week) as businesses scale, or specialize more heavily in one business area based on your strengths and interests
