We are seeking a dedicated and compassionate Administrative & Family Support Coordinator to join our dynamic team. The Coordinator will serve as a key point of contact, facilitating communication between families, service providers, and community resources. Responsibilities



Administrative & Office Coordination



General Administrative Operations Manage incoming calls, emails, and front-desk inquiries. Prepare program documents, reports, checklists, and presentations. Ensure client, and family records are updated, uploaded, and accurately stored for accreditation needs. Assist with incident reports and case notes requiring administrative processing. Assist in administrative preparation for CARF accreditation (records, signatures, training, policy acknowledgments). Track program compliance deadlines and follow-up with appropriate staff.

Technology, CRM & Systems Oversight



Update CRM entries, track follow-ups, and maintain organized client profiles. Assist with managing the phone system, troubleshooting minor issues, and liaising with IT support. Update website content and social media posts related to announcements, hiring, or program updates.

Design & Communications



Create flyers, brochures, and internal/external communication materials using Canva. Draft email templates, announcements, memos, and family communication letters.

Family Support Coordination Client Intake & Family Liaison



Serve as a supportive administrative point of contact for families seeking services. Guide families through intake requirements, scheduling meetings, and collecting documentation. Maintain accurate case notes and follow-up logs in CRM. Assist Family & Practice Supervisor with scheduling assessments, family meetings, or progress check-ins. Help with documentation required for FSCD, PDD, and internal transitions. Support communication flow between supervisors, caregivers, and families.

Qualifications & Skills Required



Proven experience in administrative support, office coordination, or similar role. Strong proficiency in Microsoft Office, Canva, CRM systems, and digital communication tools. Excellent verbal and written communication skills. Ability to multitask, prioritize, and support multiple departments at once.

Preferred



Experience in human services, social work, or disability services. Understanding of FSCD, PDD, respite care programs, or CARF standards. Knowledge of behavioral support documentation or intake coordination. Organize digital and physical files, maintain accurate records, and ensure compliance-ready documentation. Support office scheduling, meeting coordination, and communication across departments. Monitor office supplies and manage orders as needed.

Job Types: Part-time, Permanent

Pay: $19.00-$21.00 per hour
