The Temerty Faculty of Medicine trains the next generation of Canada\'s leading physicians, scientists and rehabilitation specialists, as one of the world\'s top research-intensive medical faculties. More than 900 dedicated staff - on the St. George campus and beyond - support this work under the leadership of the Dean of Medicine across educational units, academic departments, research laboratories and corporate offices.

As Administrative Coordinator, you will serve in a front line capacity, providing confidential administrative support to the Senior Advisor, Clinical Affairs and Professional Values and the Director, Faculty Wellness. You will be entrusted with a wide variety of key administrative tasks that require a great deal of tact, attention to detail and adaptability within an unpredictable, fast paced environment. You will be well organized, exercise good judgement in a variety of situations and have solid communication skills with the ability to maintain a realistic balance among multiple priorities and ensure consistent, efficient operations.

Your responsibilities will include:

  • Acting as the first point of contact, resolving issues and escalating problems as required
  • Maintaining senior staff calendars, scheduling appointments, coordinating travel arrangements and resolving scheduling conflicts
  • Coordinating meetings, including taking minutes, preparing agendas and following up on action items
  • Drafting, editing and formatting correspondence, reports and presentations
  • Analyzing administrative processes and procedures and recommending changes for improvement
Essential Qualifications:
  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience
  • Minimum three years related administrative experience, preferably within a university setting
  • Demonstrated experience providing direct support to senior executives/administrators
  • Experience scheduling and coordinating meetings and maintaining complex schedules and calendars
  • Experience supporting committees and writing professional and accurate minutes
  • Experience coordinating events
  • Experience independently drafting correspondence and preparing and formatting presentations
  • Experience dealing with sensitive and confidential matters
  • Advanced proficiency with MS Office Suite, survey tools and virtual meeting platforms
  • Solid communication, interpersonal, organizational and problem solving skills
  • Abilityto demonstrate adaptability and flexibility within an unpredictable, fast paced environment
  • Strong attention to detail and demonstrated judgement, tact and discretion
  • Ability to work independently and as a team member
