Job Description


Robert Half is seeking a highly organized and detail-oriented Administrative Coordinator to join our client for a long term/PART-TIME contract opportunity within the construction industry. As an Administrative Coordinator, you will play a vital role in supporting the day-to-day administrative operations of our construction projects. Your exceptional multitasking abilities, strong communication skills, and keen attention to detail will contribute to the overall success of our construction projects. This opportunity is based Waterloo, ON.

Responsibilities:

-Maintain and organize project files, including contracts, permits, blueprints, and other construction-related documents. Ensure that all documents are accurate, up-to-date, and easily accessible for the project team.

-Assist in coordinating project schedules, including monitoring project timelines, deadlines, and milestones. Collaborate with various stakeholders to ensure timely completion of tasks and proactively address any scheduling conflicts.

-Schedule and organize meetings, conferences, and site visits, ensuring all relevant parties are informed and prepared. Prepare meeting agendas, take minutes, and distribute action items to the appropriate team members.

-Serve as a central point of contact for internal teams, external vendors, subcontractors, and clients. Facilitate effective communication by relaying messages, answering inquiries, and addressing concerns promptly and professionally.

-Assist with procurement activities, such as obtaining quotes, preparing purchase orders, tracking deliveries, and reconciling invoices. Coordinate with suppliers and vendors to ensure timely and accurate delivery of construction materials and equipment.

-Collaborate with the project team to monitor project expenses, track costs, and maintain accurate records. Assist in preparing budget reports and forecasts to ensure projects remain within established financial parameters.

-Accurately enter and maintain project data, including timesheets, expenses, and other relevant information. Prepare regular reports on project progress, budget updates, and key performance indicators (KPIs).

-Provide general administrative support to the project team, including organizing travel arrangements, managing office supplies, filing documents, and handling correspondence. Assist in coordinating logistics for team members, such as accommodation and transportation arrangements.

Requirements:

-High school diploma or equivalent; bachelor\'s degree in a relevant field is preferred.

-Proven experience as an administrative coordinator or similar role within the construction industry.

-Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.

-Excellent verbal and written communication skills, with a professional and friendly demeanor.

-Proficiency in using office software applications, such as Microsoft Office Suite and project management tools.

-Familiarity with construction terminology, documents, and processes is highly desirable.

-Strong attention to detail and accuracy, with the ability to identify and resolve discrepancies.

-Demonstrated ability to work effectively in a fast-paced environment and adapt to changing priorities.

-Exceptional problem-solving skills and the ability to think proactively and make informed decisions.

-Excellent time management skills and the ability to meet deadlines consistently.
