The Canadian Automobile Association is federation of eight Clubs providing 7 million Members with exceptional emergency roadside service, complete automotive and travel services, Member savings and comprehensive insurance services. CAA also advocates on issue of concern to its Members and all Canadians, including road safety, the environment, mobility, infrastructure, and consumer protection. CAA has been ranked among the most trusted brands for seven years. We are currently looking for a dynamic Administrative Coordinator. This role is in Ottawa with opportunity to work remotely within Ottawa or surrounding area. Summary of Duties The Administrative Coordinator will play a critical role within a highly dynamic and collegial CAA national team. The position provides support for the Insurance, Automotive and Membership and Marketing streams of the business. The Administrative Coordinator is also responsible for trademark administration. Duties/Responsibilities:

  • Scheduling and providing support for both virtual and in-person meetings. This includes organizing meetings with stakeholders, booking venues and on-site logistics.
  • Supporting the preparation of working papers for business lines, coordinating multiple inputs and assembling them into a cohesive package
  • Attending meetings and taking diligent notes, capturing key discussion points, outcomes and actions.
  • Maintain thorough tracking and progress of meeting actions and distributes key communications and reports to various groups of CAA stakeholders.
  • Coordinates the registration and use of CAA owned Trademarks. Liaises with trademark solicitors thought registration, renewal and infringement.
Required Skills/Abilities:
  • Minimum of 2 years\xe2\x80\x99 experience in office administration
  • Highly developed minute taking, writing and publishing skills with attention to detail.
  • Very effective organization and time management skills; ability to multi-task and prioritize.
  • Excellent problem-solving and communication skills.
  • Ability to work independently and in a team-oriented collaborative environment.
  • Proficient in Microsoft Office Suite
Qualifications:
  • College Diploma/Post graduate education in Business Administrative or equivalent
