Administrative Coordinator, Indigenous Engagement

PRIMARY PURPOSE

The Administrative Coordinator will provide administrative support for the university's office and gathering space on the Muskeg Lake Cree Nation's urban reserve in Saskatoon. The position will serve as office coordinator and be the first point of contact with our faculty, students, staff and community members who utilize the office and gathering space. The individual will create a welcoming environment, respectful of the space, Indigenous communities and individuals.

Additionally, the coordinator will support managing Indigenous community relationships with the goal of engaging them into the Office of the Vice-Provost, Indigenous Engagement (OVPIE) programs, services and events. The coordinator will also support the OVPIE in the organization of cultural, artistic and scholarly presentations, performances, and events within the Muskeg Lake office, coordinating and supporting various programs, services and events organized by the OVPIE each year. The role will also support various programs, services and events from the OVPIE throughout the year across USask campus locations.

NATURE OF WORK

Reporting to the Director, Indigenous Engagement, this position plays an important role in planning and coordinating the delivery of operational and administrative support for the university's gather space on the Muskeg Lake Cree Nation's urban reserve in Saskatoon.

An important aspect of this work is creating a welcoming and safe community for all students to feel a sense of belonging and supported at the Muskeg Lake office. To be successful in this role, the coordinator requires a high level of collaboration, relationship-building, and engagement with a variety of stakeholders to effectively support USask's Indigenous strategy and the work of the OVPIE. The coordinator will also need to exercise discretionary decision-making and establish effective working relations with internal and external partners and stakeholders.

ACCOUNTABILITIES

General:

  • As a member of the OVPIE, participate in regular meetings, planning and strategy sessions. Proactively carry out activities that contribute to achieving the goals, objectives and strategies of the unit. Contribute to a team culture that encourages both individual and team accomplishments and successes.
  • Function in a collaborative and supportive capacity with other OVPIE team members, ensuring sound advice and knowledge of the university's policies, guidelines and formal and informal processes is provided where appropriate.
Culture:
  • Participate in the development, implementation, and assessment of a cultural engagement strategy specifically for the Muskeg Lake office;
  • Coordination of elders, knowledge and story keepers, and community experts within OVPIE programs, services and events who are reflective of the cultural diversity found within Saskatchewan;
  • Coordination of cultural programing on behalf of the Muskeg Lake office, including but not limited to smudging, pipe ceremonies, sweat ceremonies, and other cultural ceremonies, programs, events and celebrations dedicated to supporting OVPIE initiatives.
Community:
  • Build connections between Indigenous communities, community-based organizations and businesses that are beneficial to the success of the Indigenous strategy, and to take the lead in organizing their participation with the Muskeg Lake office programing, services, and events.
  • Represent the OVPIE at different community events when required.
Management and monitoring of financial transactions
  • Manage and carry-out accounting and financial transactions, review and get approvals as required;
  • Reconcile the accounting and financial activities for all incurred office funds;
  • Ensure financial documentation and records are properly filed and maintained;
Administrative support
  • Manage space booking calendar and scheduling;
  • Manage the communications inbox, triage requests and receive all additional forms of incoming inquiries;
  • Responsible for opening and closing the space daily and keeping space tidy throughout the day, including logistics around shipping/receiving of items.
QUALIFICATIONS

Education: A Bachelor's Degree or an equivalent combination of education and experience.

Experience:
  • Knowledge and enthusiasm for outreach and engagement of higher education with diverse communities;
  • Knowledge of the University of Saskatchewan, the province, and Indigenous peoples is essential;
  • Three or more years of experience in coordination of Metis and First Nations ceremonies and events including specialized knowledge of cultural protocols;
  • Familiarity with academic ceremonies, traditions, and protocols would be considered an asset;
  • Experience in dealing with diverse groups of organizations and peoples particularly students and Indigenous communities and partners;
  • Must hold and maintain a valid Saskatchewan driver's license and an acceptable driving record.

  • possesses proficiency using the current Microsoft Office suite (particularly Word, Outlook and Excel) and other software including MailChimp and Eventbrite;
  • comfortable in using on-line platforms for meetings, events and communications (e.g. Microsoft Teams, Zoom)
Given this position will be supporting events and initiatives which may take place outside of the normal operating hours of the office and university, the position requires a flexible schedule that allows for some availability on evenings and weekends.
