Job Title: Administrative Coordinator, Continuing Studies

: The Administrative Coordinator provides support and coordinates the Office of Dean, Continuing Studies in the development and implementation of day-to-day operational initiatives in addition to providing confidential administrative support. This position accesses and maintains personnel records of excluded, and contracted employees; maintains and tracks contractual agreements with contractors and external organizations; attends meetings, takes minutes and prepares confidential materials pertaining to personnel relations; coordinates and trains Continuing Studies (CS) personnel in preparing the Continuing Studies program database and catalogue; researches and compiles statistical data for reporting purposes; facilitates, coordinates and ensures the successful, efficient execution of events and projects; provides advice and direction with the general supervision of activities in the day-to-day operation of Langara College Continuing Studies. Coordinates and manages program development workflow to from submission to final sign-off. The Administrative Coordinator also works with highly confidential matters, including staffing concerns, students\xe2\x80\x99 issues and complaints.

Qualifications Required:

Education & Experience:

  • Baccalaureate degree preferred or minimum two-years post-secondary such as Diploma or Associate Degree in business, sales, marketing, events organization, project management or related field from a recognized post-secondary institution. Courses in labour relations, personnel practices and conflict resolution would be an asset.
  • Minimum five (5) years of recent experience in progressively responsible administrative positions public sector organization or post-secondary education system, preferably in a multi-union environment.
  • An equivalent combination of education and experience may be considered.
  • Experience and/or knowledge in human resources practices, budget administration, event management, project management, and business communications, a definite asset.
  • Experience in scheduling, preparing agendas and minutes, and drafting complex documents in various formats.
Skills & Abilities:
  • Must have well-developed interpersonal skills in establishing and maintaining effective working relationships with others, and in handling complaints and tense situations with tact and courtesy.
  • Must have excellent oral and written communications skills with demonstrated ability to compose routine correspondence, prepare documents and produce professional reports.
  • Demonstrated ability to work independently and as a member of a team or project; particularly in analyzing situations, identifying problems, resolving issues as they arise and exercising initiative.
  • Ability to perform assignments with strict deadlines with minimal supervision.
  • Demonstrated organizational ability in scheduling and prioritizing workload, in coping with routine workplace pressures and frequent interruptions, and in meeting deadlines.
  • Exceptional organizational and accuracy skills.
  • Independently uses initiative and exercises sound judgement in decision making.
  • Must possess excellent word processing skills including keyboarding @ 60 wpm, efficient recording and verbatim transcription of meeting minutes.
  • Demonstrated competence in operating a personal computer in a Windows environment using current word processing, spreadsheet and database management applications.
  • Ability to handle confidential personal and sensitive information with discretion.

Salary Range: $32.71 - $45.79 per hour

Pay Grade: Admin Paygrade 05

Compensation beyond the mid-point requires approval by the Public Sector Employers\xe2\x80\x99 Council Secretariat (PSEC).

Scheduled Weekly Hours: 35

Hours may vary according to the needs of the department.
