Extended Learning Administrative Coordinator Primary Purpose: Extended Learning (EL) is a new unit under development that will support micro-credential and continuing education opportunities. This position will deliver detail-oriented and responsive administrative support for the micro-credential approval processes, coordinate daily operations related to registration and learner supports for new and continuing extended learning programming, accurately develop and assign digital badges in accord with University requirements, update learner-facing content online, and ensure key objectives and priorities for the unit and its academic partners are advanced, thereby supporting the University\xe2\x80\x99s commitment to achieve meaningful change with and for our communities. This position reports to the Extended Learning Program Manager, has no direct reports, and is expected to work effectively in a distributed team environment with diverse stakeholders. Nature of Work:
Reporting to the Extended Learning Program Manager, the incumbent will coordinate and complete activities within the incumbent\xe2\x80\x99s assigned portfolio related to support extended learning programs, including partnering with academic units and faculty to navigate the micro-credential approval process while working effectively with the newly forming Extended Learning team to support extended learners. This work, driven by a learner-first approach, requires creative and critical thinking, attention to detail and quality, willingness to adapt to changing needs as they arise, decision-making that aligns with guidelines, policies, and processes while maintaining and fostering relationships with academic partners from across the institution. The ability to develop and manage proposals and programs in alignment with the approved micro-credential guidelines, institutional goals and objectives, and interpret and apply data from market analyses is essential. The incumbent is expected to act as a knowledge source to faculty and staff concerning diverse administrative processes related to micro-credentials and continuing education. Therefore, the ability to understand guidelines, policies and the systems that support extended learning is key to this position\xe2\x80\x99s success. The impact of error is high, as it can affect the effective and timely implementation and therefore success of extended learning programming. This position works under pressure in a fast-paced environment to meet competing deadlines and performs multiple tasks in a continuously changing work environment. The standard for the quality of work and timely completion of tasks is very high. Excellent communication and interpersonal skills are essential, and superb learner-first and client-centered service are key traits required for this role. Accountabilities:
  • Manage and foster relationships with internal and external stakeholders.
  • Support academic partners to develop, implement, and execute micro-credential or continuing education opportunities.
  • Develop and maintain standard operating procedures for administrative accountabilities of this role, as these will apply to short- and medium-term strategic planning for the unit.
  • Communicate micro-credential guidelines accurately and clearly to academic partners across campus.
  • Collect and interpret market research data and environmental scans of comparable institutions to identify areas of interest for new micro-credentials and extended learning programs.
  • Provide guidance and knowledge to academic partners and the Micro-Credential Advisory Group related to labour market demands and comparable offerings.
  • Coordinate completion of evaluation surveys for micro-credentials and continuing education opportunities to ensure their relevance and effectiveness.
  • Monitor, respond, and forward requests send to the unit related to micro-credentialing with attention to providing accurate information and timely service while independently assessing which requests require higher levels of attention.
  • Coordinate creation and distribution of digital badges for completed micro-credentials and continuing education opportunities.
  • Conceive, manage, and complete projects aimed at increasing process effectiveness and efficiency.
  • Maintain a high-quality learner experience within the Destiny One registration system and through accurate and timely digital badge distribution to learners through BCDiploma.
  • Ensure work is completed within established deadlines and aligned with guidelines by creating or revising required resources, acquiring all necessary approvals, effectively setting work priorities, and collaborating with others as needed.
  • Undertake other activities, as may be delegated from time to time, in support of the Extended Learning team\xe2\x80\x99s goals and priorities.
Education:
An undergraduate degree with knowledge of data collection and analyses practices in the social sciences or humanities is preferred. A combination of education and experience may be considered. Experience:
Three years\xe2\x80\x99 experience working in a fast-paced and diverse office environment with multiple demands across multiple stakeholders while applying a client-centered approach is required. Demonstrated experience supporting academic senior level administrators, including strict time management, is required. Experience closely with faculty and academic staff is an asset. Experience working in a post-secondary or other large organization is an asset. A high level of proficiency in Microsoft Outlook, Teams, SharePoint, Word, Excel and PowerPoint is essential. Understanding university learning technologies and learner support systems (Canvas, Destiny One, and BCDiploma) is benefitial. Skills:
  • Demonstrated ability to support academic partners including faculty and staff to navigate process and systems.
  • Exceptional communication skills, both written and oral, with an ability to communicate in an effective way to a variety of audiences.
  • Ability to be flexible and adapt to changing priorities and/or contexts while staying a positive and productive member of the team.
  • Ability to structure, organize and build initiatives, and effectively plan and manage multiple projects with attention to detail.

  • Ability to problem-solve, and act strategically, creatively, and with a high degree of independence in alignment with established guidelines and expectations.
  • Proficient with university learning technologies systems and tools (e.g., Canvas, Survey Monkey, Destiny One, BCDiploma), and demonstrated skills using computers and Microsoft Office Suite (e.g., Excel, Word, PowerPoint, Visio). Must have the capability to learn university learning technology and learning supportive systems.

Salary: The salary range, based on 1.0 FTE, is $50,780.00 - 79,344.00 per annum. The starting salary will be commensurate with education and experience.
