Who We're Looking For:
We're on the hunt for a friendly, organized, and proactive
Administrative & Client Experience Assistant
to be the face of our office. You'll be the first point of contact for clients and visitors, ensuring a welcoming experience while keeping our office running smoothly. If you're a multitasking superstar who thrives in a collaborative environment, we want you!
What You'll Do:
Greet clients warmly and provide assistance in person, over the phone, and via email
Handle calls and maintain day-to-day call history
Communicate with clients regarding documents, appointments, & follow-ups
Charge clients manually or via phone, and send reminders for pending invoices & payments
Handle CRA related work including but not limited to CRA account registrations, and filing WSBC, T4s, and T5s online
Assist with incorporation, dissolution, and annual return tasks for Canada-wide and BC companies
Respond to client emails and coordinate with accountants as needed
Onboard new clients and create projects in financial systems
Schedule meetings (in-person and phone calls) and manage calendars
Create and upload Alberta Consent Forms and manage e-sign documents
Order office supplies and maintain inventory
Keep the office running smoothly - including light kitchen/office duties
Assist the team and other necessary tasks as needed.
What We're Looking For:
High school diploma required; diploma or certification in business administration is a plus
1+ year experience in an administrative or receptionist role
Fluent in
English, Hindi, and Punjabi
Strong communication and interpersonal skills, with a professional, customer-focused attitude
Excellent organizational skills, multitasking abilities, and attention to detail
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Quick learner with a knack for retaining and applying information
Perks & Benefits:
Competitive pay: $16.00/hr - $18.50/hr
Full-time: 40 hours/week (Monday-Friday, Saturdays as needed)
