Job Summary



We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to join our wealth-management team in Victoria. The successful candidate will provide vital administrative and operational support to a Senior Investment Advisor and her clients. This role requires professionalism, accuracy, and a strong ability to prioritize in a fast-paced environment. Prior financial-industry experience is an asset but not required for the right candidate with strong administrative skills and a passion for excellence.

Compensation:

Starting from $60,000 CAD, commensurate with experience

Key Responsibilities



Provide administrative support including data entry, document preparation, and daily office coordination. Prepare and organize client documentation, portfolio review materials, and meeting packages. Coordinate schedules, book appointments, and ensure efficient calendar management. Maintain accurate electronic and physical client files in accordance with compliance protocols. Draft, proofread, and distribute correspondence, reports, and forms with high attention to detail. Respond promptly and professionally to client emails and inquiries. Assist with expense tracking, invoice handling, and basic financial recordkeeping. Manage office supplies, vendor coordination, and overall office organization. Proactively identify workflow improvements and anticipate team needs.

Qualifications & Skills



Minimum

2 years of administrative experience*, preferably in finance, insurance, legal, or other regulated industries.
Exceptional attention to detail, accuracy, and follow-through. Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook). Strong written and verbal communication skills with a professional demeanor. Excellent organizational and time-management abilities; capable of handling multiple priorities. Proven ability to handle confidential information with discretion and integrity. Strong interpersonal skills and a client-service mindset. Familiarity with CRM or financial software (e.g., Dataphile, Croesus, Salesforce) considered an asset. Post-secondary education in Business Administration, Finance, or a related field preferred.
