About the Opportunity

Reporting to the Senior Director People Services - HR Operations and Senior Director EDIRA and Talent & Organizational Development, the Administrative Assistant will serve as the initial contact and resource person responsible for providing comprehensive administrative support by effectively coordinating the day-to-day operation of the Senior Director and Directors\' offices. The position coordinates all administrative activities, establishes administrative procedures and guidelines and acts as a liaison with the administrative assistants within the portfolios and across Nova Scotia Health. The Administrative Assistant provides support & guidance to the portfolios in terms of all administrative activities, procedures and guidelines to enable consistency and standardization across the portfolio.

The position is responsible for the administrative leadership, development and mentorship of the administrative assistants within the portfolios. This position provides additional support to individuals, committees or working groups as assigned. This position works closely with the Executive Assistant of the financial stewardship and people services portfolios and may provide general administrative coverage in the absence of other assistants reporting within these portfolios.

About You

We would love to hear from you if you have the following:

  • Post-Secondary diploma in a recognized office administration, business administration or secretarial program
  • International Association of Administrative Professionals (IAAP) certification is an asset
  • The Administrative Assistant requires a minimum of 5-7 years\' of progressively responsible experience, providing administrative support and office coordination at the senior level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders
  • Demonstrated excellent communication and interpersonal skills with a high degree of tact, judgement, and confidentiality
  • Demonstrated ability to apply critical thinking, synthesize information, problem-solve and utilize good judgment in decision making. Ability to recognize sensitive issues and respond appropriately.
  • Ability to take and transcribe minutes
  • Excellent organizational, follow through and time management skills, with the ability prioritize tasks and accurately manage multiple priorities in a fast-paced, time-sensitive and highly confidential environment
  • Demonstrated accountability, initiative, and ability to work independently
  • Excellent communication, interpersonal, prioritizing, and organizational skills
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies
  • Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information
  • Demonstrated commitment to ongoing learning and professional development

Hours
  • Long assignment, Full-time position; 75 hours bi-weekly
  • Approximately 12 months (assignment length subject to change)
Compensation and Incentives

$24.28 - $30.54 hourly
