About Our Opportunity


As the Administrative Assistant, you will be responsible for providing administrative support to the Director and staff in Health and Wellness Financial Services Division of the Department of Finance and Treasury Board.
This position reports to the Director of Finance – supporting the Health Authorities.

Primary Accountabilities


the Administrative Assistant, you will manage Division correspondence as well as documentation of the Division’s administrative processes. These administrative processes involve personal information, and you will be expected to uphold the Department’s obligations to confidentiality and protection of personal information.
You will also provide agenda management support to the Directors, ensuring that their time is used effectively to deliver on their mandates. You will ensure adherence to all administrative procedures in the Branch at both the staff and Director level with respect to Division budgets and financial reports, human resources and performance management, time management, records management and other administrative procedures as required. You will also manage Division space and procurement needs. You will also take/direct phone calls on behalf of the Branch and provide back-up coverage for the Department's main inquiries phone line.

Qualifications and Experience


This may be the right opportunity for you if you have completed a 1-year business course along with 3 years of related experience; an equivalent combination of training and experience may be considered.
As the ideal candidate you have previous experience providing support in an environment that requires processing of sensitive information on a regular and timely basis. You are a team player with strong interpersonal skills, as well as sensitive to the needs of clients and demonstrate tact, sound judgement, initiative, creativity, and exercising discretion and confidentiality. You thrive in a fast-paced environment and possess exceptional communication and time management skills and can determine work priorities and manage work with competing deadlines.
You have previous experience providing documentation support, i.e. preparing, formatting, proof-reading, publishing, and distributing documents. You also possess experience working successfully with confidential personal information.
Exceptional MS Office Suite skills are required (Excel, Word, PowerPoint, and Outlook).
We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Pay Grade: CL 18 Salary Range: $1,579.09 - $1,766.79 Bi-Weekly
