About Our Opportunity



The Administrative Assistant provides senior level assistance and is responsible for the efficient and effective operations of the Division of Program Management and Corporate Services. The Administrative Assistant provides clerical and administrative support to the Executive Director of Program Management and Corporate Services, including establishment, coordination, and maintenance of procedures to manage the flow of information through the office of the Executive Direrctor, tracking special projects and work plans, and compilation of correspondence and confidential reports.

Primary Accountabilities



  • Relieves the Executive Director of administrative and business details on a wide variety of matters
  • Effectively manages the Executive Director\'s schedule and maintains their electronic calendar
  • Ensures the timely, consistent, and effective delivery of information
  • Keeps in close contact with all management staff that report to the Executive Director
  • Contributes to the effective management of the Program Management and Corporate Services Division
  • Maintains effective financial controls of the division
  • Keeps events, business planning, and accountability process on schedule


Qualifications and Experience



As our next Administrative Assistant, you have successfully completed a one year administrative/secretarial diploma and have a number of years of progressively more responsible administrative/secretarial experience.

As the ideal candidate you have previous experience providing support in an environment that requires processing of sensitive information on a regular and timely basis. You demonstrate sound judgement, initiative and creativity. You possess exceptional communication and time management skills, able to determine work priorities and manage work with competing deadlines. You are a self-motivated individual who works well independently and participates fully in a team environment. You possess excellent grammar, proofreading and organizational skills.

You are experienced in ensuring confidentiality in all your work as well as establishing and building relationships with a variety of stakeholders and other levels of government. You have demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint), and are familiar with STAR/STOR. Familiarity with SAP, Ariba, and/or Flextrack systems would be considered assets.

We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Working Conditions



  • Normal work week is 35 hours/week, 7 hours/day
  • May be required to work overtime on occasion

Pay Grade: EC 05 Salary Range: $1,874.72 - $2,343.39 Bi-Weekly
