We\xe2\x80\x99re on the hunt for an Administrative Assistant in our Geointelligence Engineering Team at our Richmond office.

A professional Administrative Assistant with excellent customer relations and communication skills provides exceptional administrative support to our teams. In this role you will assist the team with the day-to-day activities, including business and customer contacts. The Administrative Assistant must be highly organized and able to multi-task and meet tight deadlines. In a \xe2\x80\x98people-oriented\xe2\x80\x99 position like this, flexibility, organization and preparation (as much as possible) are vital. There is no typical day.

Role:

  • Pro-actively manages the Managers appointment schedules and other time commitments through methods such as receiving appointment requests and meeting/conference invitations, determining urgency and nature of requests and scheduling and making necessary arrangements. Resolves time conflicts as required.
  • Screens requests and inquiries, makes a determination on importance/urgency of request
  • Correspondence typing, preparing presentation material, preparing courier packages
  • Coordinating the logistics for all managers\' customer/business visits (ordering lunches, booking rooms, dinner reservations, etc.)
  • Maintaining management files
  • Coordinating/setting-up conference calls
  • Coordinating computing & software needs
  • Organization and collecting performance reviews
  • Coordinating travel arrangements with in house Travel Department
  • Conference registration & all related travel arrangements
  • Makes arrangements for attendance at industry meetings and conferences
  • Prepare and process expense claims
  • Organizing team events, SWAG, LOS, retirements
  • May maintain team travel and vacation calendars
  • Assisting Project Accountants as required
  • May order stationery supplies
  • Assist the project teams with miscellaneous tasks as required
  • Opening and distribution of daily mail received for your manager
  • Commitment to ongoing learning and professional development. Keep up to date with training (in person and online) to improve skills and increase knowledge base. This relates to soft skills and technical skills.
  • Answers and screens Managers telephone calls, directs and answers inquires
  • May draft correspondence
  • Reviews letters and presentations for accuracy and compliancy to company guidelines
  • Applies sound financial principals involving the prudent use of the resources available
  • May take care of office allocations and all related duties
  • Attend all Admin meetings, Travel Dept. meetings and team meetings as required
  • Liaise with other company departments (ex. Art, Marketing, Print Centre, Purchasing etc.)
  • May provide some data management and assistance with Sharepoint
  • May assist with e-card signing
  • Prepare Lobbyist Report for Manager if required
  • Contribute to team effort by accomplishing related results as needed
  • Assist travelling employees to keep Travel Profile up to date
  • Will follow MDA best practices in all aspects of job
  • Other duties as assigned or required
Experience requirements:
  • Minimum 5 years office experience providing administrative support
  • High School Diploma
  • Intermediate level PC experience and proficiency required in Microsoft Office and Outlook
  • Excellent organizational skills
  • Proven ability to work with little or no supervision
  • Ability to work under pressure, to handle interruptions and to manage multiple requests
  • Ability to deal with sensitive information using excellent judgement, diplomacy, and discretion
  • Available to work extra hours on short notice
  • Perfect command of English language
  • Required hours /week: 40
  • Ability to maintain confidentiality and exercise considerable judgement, tact, and discretion.
  • Proven ability to organize and prioritize workload and handle several projects simultaneously through to completion, with minimal direction or supervision.

Comments/Special Considerations:

Successful candidates must obtain and hold security clearance at the reliability status level, and pass security assessment for the Controlled Goods Program (CGP).
